BASIC PURPOSE
The purpose of this position is to provide executive administrative and HR support to the Sacramento Social Services department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
ADMINISTRATIVE SUPPORT
Compose and type routine correspondence.
Proofread documents as requested.
Receive, sort, and distribute mail to appropriate personnel.
Make copies of correspondence or other printed materials and file appropriately.
Prepare outgoing mail and correspondence, including e-mail and faxes.
Answer and screen telephone calls as directed and may arrange conference calls.
Greet scheduled visitors and direct to appropriate area or person.
Coordinate and arrange meetings, prepare agendas, reserve, and prepare facilities, and record and transcribe minutes of meetings when directed.
Schedule catering events for the Center of Hope culinary team.
Order and maintain office supplies.
Maintain and track Christmas Events, Meetings Calendar, and Sacramento County Event Planner.
Provides support with special assignments and projects including Christmas, Angel Tree, and other programs as directed.
Other duties as assigned.
PAYROLL
Assists with Payroll as needed.
Complies data from personnel records and prepares reports.
Computes wages and records data for use in payroll processing; audit bi-weekly payroll hours and review payroll registry for discrepancies and accuracy; track kiosk problems assigned to IT for resolution.
Maintain sick and vacation accruals master list and monitor usage.
PERSONNEL
Assists with the updating of personnel files.
Records and maintains employee information such as personal data, compensation, benefits, tax data, attendance, performance reviews or evaluations, termination date and reason, organizational chart, and employee master list.
Processes employment applications and conducts new hire orientations.
Updates employee files to document personnel actions and to provide information to authorized persons.
Compiles and maintains records for use in employee benefits eligibility.
Prepares and files workers’ compensation claims.
Maintains and files volunteer and driver records ensuring all required documentation is current and valid in recordkeeping systems.
Will coordinate with DHQ HR on employee relations matters.
KNOWLEDGE, SKILLS, ABILITIES AND OTHER QUALIFICATIONS REQUIREMENTS
High school diploma or equivalent required.
A minimum of two years related experience.
Must possess a valid California Class C Driver License, and ability to drive a Salvation Army vehicle
Must be 21 years or older.
Complete The Salvation Army vehicle course training.
Ability to work well under pressure and meet deadlines.
PHYSICAL REQUIREMENTS:
Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis
Ability to grasp, push, and/or pull objects
Ability to reach overhead
Ability to operate telephone
Ability to lift up to 25 lbs. for administrative positions
Ability to operate a computer
Ability to process written, visual, and/or verbal information
Ability to operate basic office equipment and tools PC, Fax Machine, Telephone, Calculator, Copier, Printer.
