Description/Job Summary

The Front Desk Assistant serves as the company's first point of contact with clients, subcontractors, vendors, employees, and the general public and as such provides a critical public relations service. The Front Desk Assistant is responsible for answering all incoming phone calls, referring inquiries, greeting visitors, receiving and dispatching parcels and conducting certain record keeping functions.

This position reports to the Office Manager/Operations Administrator (OM/OA).

Responsibilities/Duties

  • Prepare/Organize Front Desk for Daily Duties: check voice mail upon arrival; report building issues to OM/OA; stock and maintain office supplies; maintain front desk phone; and ensure Administrative Staff is informed of information that affects the front desk

  • Answering Phone Calls: answer, direct, and refer all phone calls accurately; know each department's role and responsibilities to successfully manage phone calls; take accurate messages when required; and respond to public inquiries or complaints with respect, discretion, and know when to turn call over to OM/OA

  • Greeting Visitors & Employees: attentive in greeting visitors and employees; assist visitors with sign-in process and ensure visitors complete all required information noted on the Visitor's Log; and maintain security by tracking all visitor's badges

  • Receive and Process Incoming/Outgoing Mail: track all incoming and outgoing mail; open and date stamp all USPS, FedEx, UPS and special deliveries; notify department liaisons about incoming packages for pick up; and help manage field mail run for incoming and outgoing packages to jobsites

  • Update/Maintain Everyday Calendar/Logs/Front Desk Manual: update calendar with necessary information to support the Front Desk; direct and guide visitors and employees to meeting locations; update and maintain Front Desk Manual with approved changes by OM/OA; and follow Bid Day procedures and communicate to Administrative Staff any bid day specific instructions given by the Estimating Department

  • Closing Front Desk/Plan for Early Closings: ensure main line greeting is updated; ensure elevators are locked; work closely with office staff to confirm all visitors check out; and post signage to reflect information on early and holiday closings

  • Other tasks as assigned in support of the Administrative Department and projects

Required Skills

This position requires the ability to lift 30 lbs, push and stoop multiple times a day.

Required Experience

A High School Diploma or G.E.D is required. Must have a minimum of one (1) year of Receptionist/Front Desk or customer service experience. Must have proficiency in Microsoft Office (Outlook, Excel, and Word), copiers and printers, and multi-line phone systems.

Preferred Experience

Construction experience is highly preferred.
