Christ Church Administrative Assistant, Impact Ministry Training Center in Rockaway, New Jersey

Administrative Assistant (Full Time) The Administrative Assistant to the Executive Director of the Impact Ministry Training Center is responsible for providing high-level administrative support to ensure the efficient operation of the Executive Director's office and the Impact Ministry Training Center as a whole. This role is crucial in managing daily operations, coordinating communications, and supporting various initiatives across the Training Center's programs and departments. Essential Job Responsibilities Executive Support and Office Management (40%): • Implement and maintain an efficient system for managing the Executive Director's time and commitments. • Serve as the primary point of contact for internal and external communication to the Executive Director's office. • Develop and improve office procedures to enhance productivity and efficiency. • Create and maintain a comprehensive digital and physical filing system for easy information retrieval. Program Support and Coordination (25%): • Facilitate seamless communication between the Executive Director and various program heads. • Contribute to the successful execution of Training Center events by managing logistics and participant communication. • Develop standardized reporting templates to streamline program data collection and presentation. Administrative Support for Impact Publishing House (15%): • Establish and maintain a tracking system for the curriculum development and publication process. • Implement an efficient inventory management system for published materials. • Develop and maintain a distribution schedule to ensure timely delivery of materials to schools and programs. Grant and Initiative Support (15%): • Create and maintain a comprehensive database of grant-related documents and deadlines. • Develop data collection protocols to support accurate and timely grant reporting. • Implement a progress tracking system for grant-funded initiatives to ensure milestone achievement. General Administrative Support (5%): • Establish and manage a system to track office expenses and ensure they stay within the budget. • Implement an inventory system for office supplies to ensure timely restocking and cost-effective purchasing. EDUCATION, SKILLS, AND/OR EXPERIENCE REQUIRED • Bachelor's degree in Business Administration, Communications, or related field • Minimum 3-5 years of experience in an administrative support role, preferably in a non-profit or educational setting • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) • Excellent organizational and time management skills • Strong written and verbal communication skills SKILLS REQUIRED • Demonstrates keen discretion, sound decision-making, and a solutions-driven approach to challenges. • Ability to maintain confidentiality and handle sensitive information • Strong attention to detail and accuracy • Excellent interpersonal skills and professional demeanor • Ability to work independently and as part of a team • Proficiency in using office equipment and technology • Familiarity with project management principles AMERICANS WITH DISABILITIES ACT (ADA) In accordance with the Americans with Disabilities Act (ADA), the Impact Ministry Training Center is committed to providing reasonable accommodations for qualified individuals with disabilities.
