Description
We are offering a long-term contract employment opportunity for a Part Time Administrative Assistant in the construction industry based in Rochester, New York. This role involves handling administrative duties and providing high-level customer service. This is a crucial role where the successful candidate will be responsible for a variety of tasks that help streamline the company's operations.
Responsibilities:
• Answer and direct inbound calls, ensuring professional and efficient communication.
• Provide exceptional customer service, addressing and resolving inquiries and issues in a timely manner.
• Accurately perform data entry tasks, updating and maintaining customer information in the company database.
• Manage email correspondence, responding promptly to internal and external communications.
• Handle both inbound and outbound calls, providing information and assistance to customers and team members.
• Proficient use of Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word for various administrative tasks.
• Schedule appointments, coordinating schedules and ensuring optimal time management.
• Assist in the organization of company activities and operations to secure efficiency and compliance with company policies.
• Create and update records ensuring the accuracy and validity of information.
• Support other team members with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.) as needed.
Requirements • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
• Experience in answering inbound and outbound calls
• Strong data entry skills
• Excellent customer service skills
• Ability to manage email correspondence efficiently
• Experience in scheduling appointments
• Knowledge of industry-specific software and tools
• Strong organizational skills and attention to detail
• Ability to multitask and prioritize tasks effectively
• Excellent verbal and written communication skills
• Ability to work independently and as part of a team
• Proven ability to handle confidential information
• High school diploma or equivalent qualification
• Prior administrative experience in the construction/contractor industry is a plus.
