Mindex is seeking a proactive, detail-oriented, and innovative Marketing Operations Specialist to join our team! This role involves a mix of list building and segmentation, email campaign execution, performance tracking and reporting, and close collaboration with marketing team members and sales. The ideal candidate will have strong organizational skills, technical proficiency, and a passion for using data to optimize marketing efforts and generate Marketing Qualified Leads.
As a Marketing Operations Specialist reporting to our Director of Marketing, you will play a crucial role in driving revenue growth by collaborating with cross-functional teams, and ensuring seamless execution of campaigns that engage, convert, and deliver measurable results. Requirements
Essential Functions
List Building and Segmentation:
Leverage the Hubspot CRM and marketing automation platform to build targeted lists based on contact demographics, behaviors, and other key criteria.
Develop and maintain segmented marketing lists for email campaigns and other marketing activities, ensuring that the data is clean, accurate, and up-to-date for effective targeting.
Plan, create, and execute email marketing campaigns, including promotional emails to build awareness of Mindex products and services, sequenced workflows, and drip campaigns to slowly nurture prospects through the buyer journey.
Email Campaign Execution, Performance and Tracking:
Develop email content that resonates with target audiences, ensuring compliance with best practices to maximize deliverability and minimize risks of being flagged as spam.
Implement A/B testing strategies to optimize email subject lines, content, and calls to action.
Track and analyze the performance of email campaigns and target lists, building reports to highlight effectiveness of campaigns and key performance metrics (open rates, click-through rates, conversions, etc.), offering insights and recommendations for continuous improvement.
Use data to identify trends, improve lead quality and engagement, and refine targeting for future campaigns.
Facilitate timely follow-up and qualification of inbound leads generated by marketing efforts.
Collaboration with Sales:
Work closely with the Sales team to ensure alignment between marketing campaigns and sales initiatives.
Assist with the nurturing of leads through collaboration on sales enablement content and automated workflows.
Assist sales with driving booth traffic, registrations, and scheduled demo meetings for conferences, webinars, user groups, seminars and other events through attendee list building, email campaigns, and post-event follow-up messaging.
Share insights on lead quality and conversion rates to help refine lead generation strategies and sales processes.
Process Optimization:
Manage and optimize Hubspot lists, contacts, companies, and workflows to streamline campaign execution and lead management.
Stay up to date with industry trends and continuously look for opportunities to streamline marketing processes, improve campaign execution, and increase efficiency.
Document and maintain procedures and workflows to ensure consistency across marketing operations tasks
Education & Experience:
Bachelor’s degree in Marketing, Communications, Business, or a related field.
5+ years of experience in marketing operations, email marketing, or digital marketing.
Proficient using a CRM, email marketing platforms, and marketing automation tools (Salesforce, HubSpot, Marketo, etc.) to build lists, track campaigns, manage leads, and generate insights. Hubspot experience is a plus.
Skills & Competencies
Passionate about maintaining clean contact and company information for accurate segmentation and targeting.
Experienced building and executing marketing campaigns that are well-integrated across all touchpoints.
Excellent organizational skills with the ability to manage multiple leads and marketing activities simultaneously, ensuring marketing programs and campaigns stay on track and no prospect or customer falls through the cracks.
Has strong written and verbal communication skills to clearly articulate value propositions and effectively communicate with prospects, team members, and leadership with a mix of business and technical acumen.
Passion for identifying bottlenecks and inefficiencies in marketing processes and workflows from campaign planning to execution, to ensure campaigns run smoothly.
Understanding of email marketing best practices and data privacy regulations (CAN-SPAM, etc).
Strong analytical skills to track campaign performance and ROI.
Familiarity with lead nurturing processes and sales funnels.
Ability to remain agile and make informed decisions rapidly, especially when handling campaign performance or system issues in order to keep marketing efforts on track.
Strong communication and cross-functional collaboration skills with Sales, Marketing, and other departments to achieve shared goals and ensure
Comfortable in a fast-paced environment and able to pivot quickly, adjust to new priorities, and remain calm under pressure.

The band range for this role takes into account the wide range of factors that are considered in making compensation decisions including, but not limited to, skill sets, education, experience, training, certifications, internal equity, and other business and organizational needs. It is not typical for an individual to be hired at, or near, the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. The range for this role is $60,000 - $90,000.
