The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
Responsibilities:
The Department Coordinator IV provides administrative support within a department, in addition to serving as the principal assistant to Senior Director(s), Director(s), Associate Director(s), or other leadership roles. Responsible for performing a variety of advanced, complex assignments including department accounts working with minimal direction under their own initiative and latitude for independent judgment. Provides work leadership to other support staff. This position deals with highly confidential information and must be able to work with limited supervision and exercise independent judgment.
GENERAL PURPOSE:
The Latin American, Caribbean, and Latinx Studies major and History Department at the University of Rochester seeks an administrative coordinator to provide general assistance to faculty, staff, students, and visitors. The position will serve as a receptionist for the LACX major and will assist the major coordination with event planning, promotion, scheduling, and communication to affiliated faculty and students. The position will also support the History Department staff with scheduling, events, and promotion.
This position is essential in fostering a LACX community that will connect students and faculty, the local Rochester Latinx community, and outside scholars, all while ensuring that the vibrant spirit of our culture shines through- íy la diversión nunca falta! Spanish is required.
RESPONSIBILITIES:
Event planning: Coordinate and organize all LACX lectures, seminars, and conferences, which often requires: making travel arrangements, room reservations, catering, publicity and advertising, and scheduling. Coordination for some outside and community speakers will require Spanish. Assist History Department staff with event planning and coordination.
Promotion: Design dynamic promotional materials for LACX and history department events and courses, with a high priority on up-to-date social media posting. Ensure that physical materials are distributed and posted within a timely manner.
Scheduling: Communicate with LACX faculty and staff in departments/centers/programs affiliated with the major regarding relevant courses and events. Such information will be utilized to create schedules. Maintain accurate registrar schedules for LACX and the history department using UR Student.
Faculty support: Provide assistance to LACX coordinator, affiliated faculty, and undergraduate students. This includes assisting faculty and students who have questions about the LACX major or university activities; scheduling and taking notes on curriculum committee meetings; assisting with communication to faculty, students, and alumni; and assisting in furnishing factual reports and information about the major.
Other duties: Frequently compose and sign routine correspondence providing factual information for undergraduate and graduate students, and other University departments for LACX. Assist History Department staff in providing faculty support and other department duties.
QUALIFICATIONS:
Associate's Degree required
B.A./B.S. or equivalent combination of education and experience preferred
3 years of progressively responsible experience in administrative support required or equivalent combination of education and experience required
Working with minority groups, working in an academic setting, event planning, detail oriented preferred
Spoken and written formal Spanish, familiarity with Microsoft Suite, social media platforms, and Canva or Adobe Illustrator preferred.
Portuguese or other regional language. Knowledge of Latin America as a region. Member of the American Translators Association or equivalent professional organization preferred.
Has or is working towards completion of American Translators Association certification within the next 36 months. Familiarity with Workday.
