Job Description

Reporting to the Development Project Manager, the Holiday Program Assistant will play a crucial role in supporting the efficient operations of our holiday gift giving program for clients, Share the Joy. In addition, the Holiday Program Assistant will help coordinate and manage the agency’s Thanksgiving food distribution event.

*This is a part time seasonal position at 19 hours per week, from September, 2024, through December, 2024*

Essential Duties and Responsibilities

I. Serve as liaison to our Community Connections for Share the Joy, our holiday gift giving program for clients

· Maintain current and develop new Community Connections, which include local organizations, churches, businesses, and schools. You will be providing them with lists and/or labels of items for collecting donations

· Communicate with Community Connections via phone calls, emails and in person, to facilitate delivery and/or pick-up arrangements of gifts from Community Connections

· Maintain accurate communication logs and data tracking regarding Community Connections

II. Support Development Project Manager with data tracking and reporting for Share the Joy

· Proficiency with the Microsoft Office products including Excel, Word, SharePoint, and Outlook, working knowledge of Google Sheets

· Duties may include manipulating and extracting data from worksheets, mail merging data for letters and labels, reviewing submitted data for accuracy and grammatical errors, inputting data from Amazon and other donation platforms, provide accurate and up-to-date data records for the entire program for reporting purposes

· Support with unloading, moving, unboxing, sorting, and storing gifts and packages. Organize gifts and donations while following our process for accepting and distributing incoming items

III. Assist in welcoming and organizing all gifts and donations

· During designated two-week period when all gifts are delivered to our offices by donors, supports as point of contact for all donors, staff, and volunteers

· Supports in ensuring gifts are physically moved to proper storage area prior to staff picking up

· Helps facilitate the smooth distribution of gifts to our staff so they can deliver to clients

IV. Other various duties

· Supports the entire Development department facilitate and execute our annual event in November, Empty Bowls

· Maintain a high-level of confidentiality when working with sensitive donor, client, or staff information

· Participates in relevant Agency meetings and/or trainings

· Awareness and active support of the Agency's Mission, Vision, Values and Strategic Plan. Including, but not limited to, supporting the Agency's Core Competency initiatives of being Collaborative and Community Focused, Innovative and Entrepreneurial, and Culturally Competent and Diverse

· Other duties as assigned

Qualifications

Education: Associate degree is preferred. An equivalent combination of education and experience will be considered.

Experience/Skills: Minimum of two to five years of experience with Microsoft office products: Excel, Word, SharePoint Outlook, Outlook; and excellent written and verbal communication skills.

Physical Demands/Work Environment: Ability to lift up to 40 lbs., along with willingness and ability to be physically moving and on your feet for up to 6 hours.
