Compensation Range:

$21.36 - $29.90

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

The Department Coordinator IV provides administrative support within a department, in addition to serving as the principal assistant to Senior Director(s), Director(s), Associate Director(s), or other leadership roles. Responsible for performing a variety of advanced, complex assignments including department accounts working with minimal direction under their own initiative and latitude for independent judgment. Provides work leadership to other support staff. This position deals with highly confidential information and must be able to work with limited supervision and exercise independent judgment.

Provide administrative support for the Center of Education with primary focus on the Pediatric Residency Program. This position deals with confidential matters, provides administrative support to the Pediatric Residency Leadership and residents. This includes time management, prioritizing competing demands and delegating matters as appropriate. Is a resource for residents, assisting with day-to-day office operations and resident inquires.

RESPONSIBILITIES:

  • Position will split time between the Grounds and Capital Infrastructure Team as well as provide back up to Eastman school of Music and the Memorial Art Gallery

  • Point person for maintaining and submitting payroll for Grounds, backup for Eastman School of Music and the Memorial Art Gallery.

  • Orders supplies for the department, maintains records of all expenditures, provides financial feedback for budget development. Reconciles on a monthly basis. Creates journals for errors and researches any questionable entries. Backs up other departmental Administrators and Secretaries.

  • Coordinates the design and operation of various Facilities databases and operating systems. Will be responsible for entering asset information into Famis and eventually the new maintenance management system (Planon).

  • Process purchase orders and invoices for projects and departmental needs.

  • Coordinates activities for various special projects and the direction of Supervisor and Director.

QUALIFICATIONS:

  • Associate's Degree required, Bachelor's Degree preferred

  • At least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimal supervision and direct office operations required.

  • Advanced secretarial skills required.

  • Demonstrates strong written and verbal communication and customer service skills.

  • Team player with positive friendly attitude.

  • This position requires daily interaction and communication with the residents, staff, and faculty on all levels.

  • Ability to research new technologies to improve workflow and efficiencies.

  • Strong organizational skills with ability to prioritize duties and multi-task.

  • Must demonstrate the ICARE values and maintain student confidentiality.

  • Experience with resident education, policy, procedures and regulations desired.

  • Proficient in Microsoft Office (specifically in Word, Excel, and PowerPoint) and Adobe Systems (working with PDFs).

  • Previous experience with GME systems, including MedHub, is plus.
