Finger Lakes Performing Provider System Administrative Assistant in Rochester, New York
The Finger Lakes Performing Provider System (FLPPS) is a network of clinical and community-based providers working together across the 13-county Finger Lakes region to transform healthcare delivery, advance system transformation, close gaps in care, and support high-risk individuals and populations. FLPPS and our affiliated health home, the Greater Rochester Health Home Network (GRHHN) support providers in integrated healthcare delivery system optimization, care management, network and program management, population health and data analytics, and learning and development. Additionally, FLPPS is a designated New York State Workforce Investment Organization (WIO) working with training and educational institutions, health systems and other providers, to strengthen the healthcare workforce.Position Summary:The Administrative Assistant’s role is to provide a wide range of administrative support and organizational assistance. This position reports to the Development and Communications Manager. This role requires exceptional PowerPoint skills, knowledge of social media platforms, attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with individuals inside and outside of the organization is critical. The Administrative Assistant position is an in-office role.Key Responsibilities:•Greet visitors, answer calls to main phone line and follow up on inquiries as necessary•Manage complex calendars of meetings and appointments•Collate and distribute mail daily, alert employees when mail or packages are delivered•Organize meeting lunches, refreshments, etc. and support administrative needs during meetings •Prepare presentations using PowerPoint software•Assist in developing and maintaining the organization’s content calendar•Assist with development, content creation, and publishing of the FLPPS and GRHHN external digital newsletters, and the FLPPS team digital newsletter•Assist with maintaining, monitoring, and creating content for organization’s social media•Other duties as assignedProvide Back-Up Support to the Executive Administrative Assistant:•Arrange travel, prepare expense reports, reconcile credit card statements •Organize and maintain files for corporate documents•Monitor office supplies’ inventory, order as needed•Oversee office facilities, including maintenance, supplies, and equipment•Act as liaison to building manager; report maintenance issue immediately•Act as point of contact for coordination and scheduling of all activities as requested•Follow up with employees and external entities as needed to complete tasksQualifications:•Minimum of an Associate’s Degree required; Bachelor’s Degree preferred•5 years’ administrative support experience; preferably in a non-profit or healthcare sector•Outstanding written and oral communication skills; content creation experience a plus•Advanced Microsoft Office skills; exceptional PowerPoint skills required•Strong familiarity with Social Media platforms•Experience in Adobe Creative Suite a plus•Detail oriented with excellent organizational and time management skills•Proven ability to handle multiple assignments and deadlines simultaneously Competencies:•Ability to manage time effectively•Adaptable to an ever changing environment•Highly organized and detail oriented•Excellent oral and written communication skills •Ability to maintain a high degree of confidentiality •Consistent demonstration of FLPPS Brand Values: Collaborative, Trusted, Result-Oriented, Strategic and AdaptiveEssential Job Functions:In support of the American with Disabilities Act (ADA), this job description lists those responsibilities and qualifications deemed essential to the position.
