Job Summary:

You will provide administrative and clerical support to management, staff, and consumers, answer phones, compile data into various Agency computer systems, prepare reports, and prepare, process, and/or assist with billing, transcribing meeting notes, etc. (as may be assigned and directed).

What You Will Do:

  • Provide administrative and clerical support to management staff and clients, which may include but not limited to: typing, record-keeping maintenance, filing, data collection, billing preparation, insurance verifications, processing incoming referrals, report preparation, consumer contact log tracking and reporting, opening and closing/pulling client charts, data entry and storage, and receives, stamps, sorts and routes distributing mail, etc.).

  • Comply, type, and distribute typed information accurately and promptly.

  • Complete and distribute reports on a timely basis.

  • Maintain files and copies of all information typed and distributed.

  • Accurately take calls/messages and forward them to the appropriate staff in a timely manner.

  • Accurately inputs time and attendance records in a computerized time/attendance system for staff and maintains/tracks staff time-off requests, as directed.

  • Train new staffon computerized clinical/medical records systems, billing entries, and general office procedures.

  • Respond promptly to client needs, track clients' contact information, and maintain pertinent information via consumer logs, as directed.

  • Assist clients (over the phone and in person) by communicating in a positive, friendly, and professional manner.

  • Schedule appointments, conduct appointment confirmations/reminder calls to patients, and enter appointment dates and times into the computerized scheduler and case conference organization.

  • Perform switchboard duties as required by forwarding calls to the appropriate staff/department, answering questions about the Agency, providing directions to the Agency, etc.

  • Perform monthly safety checklist inspections and enter safety checklist information into the computerized clinical system.

  • Monitor and maintain calendar, schedule appointments and meetings, and assist with daily and long-range correspondence projects.

What We Need to See:

  • High School diploma (HSD) or general education degree (GED)

  • 1 year of related experience and/or training; or equivalent combination of education and experience

  • A valid driver's license is required and must be insurable by the agency's automobile insurance.
