Position Summary

The University Center Business Analyst is an integral member of the University Center team. This position is responsible for managing the system administration of various software interfaces operating primarily in University Center environments. For support of the Dining meal plan program, this position utilizes StarRez to manage meal plans, Odyssey for Point of Sale, and eSIS for student billing. For system administration support for University Center events and classroom scheduling, this position uses Mazevo, and utilizes MyOrgs for Student Involvement support. Additionally, this position provides primary support for Dining, back-up support for the Campus Reservations Office, and auxiliary support to the Registrar’s Office scheduling staff.

Responsibilities

50% Systems Administration and Management

  • Utilizes meal plan components within the Housing Management System (StarRez) to structure and implement the dining meal plan contracts for the department.

  • Implements system processes for collecting meal plan selections through the StarRez portal, ensuring connections to Odyssey for point of sales data management, auto allocate student billing to eSIS and rollover semester data processes.

  • Manages backend processes in multiple software systems for meal plan rate adjustments, programmatic changes for individual meal plan changes and cancellation processes within specific meal plan contract parameters, such as 60 credit load limitations, on-campus vs. off-campus offerings, and special Summer and J-term start-up meal dynamics.

  • Administers the timeline for automated communications through StarRez to specific meal plan contract participants at appropriate times throughout the calendar year.

  • Collaborates with StarCare and the Division of Technology Services to address technical issues, glitches, and minor change requests in StarRez.

  • Directs oversight and management of the software operation for the Event Management System (Mazevo) to support event and classroom spaces by integrating campus-wide system interfaces ( API and homegrown) with programs such as HVAC (Johnson Controls), security (Schlage SMS ), and FalconsConnect (MyOrgs).

  • Collaborates with Mazevo support and the Division of Technology Services staff to solve technical issues or process improvement strategies related to the Mazevo software.

  • Troubleshoots and implements software systems repairs and changes to Mazevo with the continued expansion of the program for improved academic course scheduling, event management changes, and staffing tracking development.

  • Implements improved communication tools within StarRez using SQL e-mail options, Mazevo auto-notifications and auto-reports distribution, reminders, and other software system tools.

20% Web, Portals, and VEMS Communications

  • Maintains StarRez web portal for meal plans, and Mazevo space scheduling tools while conforming to UWRF web policies and standards.

  • Reviews and analyzes web tools such as Google Analytics reports related to student usage of Dining and Campus Reservations web sites and make recommendations for improvements.

  • Coordinates the integration of CRM type web tools for communications with future and current students, and families both from a campus-wide integration using Slate or with the more specific University Center CRM tool.

  • Provides support for linking MyOrgs with Mazevo as it relates to invoicing and payments associated with facility use for recognized student organizations.

  • Serves as the back-up for UWRF website design for Dining, Campus Reservations, University Center, Student Involvement, Conference and Event Services, and Production Services, and incorporate Google Analytics for review and improvements.

15% Data Tracking and Assessment

  • Collaborates with Director to refine data tracking and collection and incorporate the use of software products to prepare semester or annual infographics to display departmental performance, benchmarking, and assessments.

  • Creates queries in Mazevo, Odyssey, and StarRez to assist Dining, Conference and Events, Campus Reservations, Production Services, Registrar’s Office, Facilities Management and other departments in the development of systemic assessment, marketing, and decision-making from a meal plan, classroom, event space use and financials perspective.

  • Collects, analyzes, and distributes data to administrators and co-workers, either manually or via auto-systems, from Mazevo, Odyssey, and StarRez.

15% Dining Office Support and Customer Service

  • Assists the Dining Office by providing support to meal plan participants and others.

  • Maintains weekly and year-to-date reports of all catering, cash, credit card, and Dining Dollar sales for all Dining operations, and provide back-up reconciliation for Dining contractor billings to cash register and CBORD reports.

  • Assists Campus Reservations customers when needed.

  • Supports Registrar’s Office staff with immediate assistance for classroom assignment issues.

  • Greets all visitors and answers telephones in a timely, friendly, and professional manner.

  • Provides excellent customer service to all students, parents, faculty, staff, and guests.

  • Establishes and maintains strong, supportive, and positive working relationships with co-workers.

  • Assists other department personnel in the performance of their duties, when necessary.

  • Participates in staff meetings, trainings, and departmental projects, as directed.

  • Attends evening and weekend meetings, events, and departmental commitments where necessary or indicated, such as departmental events, staff trainings, and college visit days.

    Knowledge Skills and Abilities

Required Qualifications

  • Bachelor’s degree in Business, Information Technology, Food Service or related field

  • Experience and proficiency with multiple software systems from an administrative software management framework

  • Basic understanding of data tracking and assessment, and the ability to use queries and SQL

  • Understanding of web concepts and experience with webpage editing and design

  • Ability to balance and manage multiple tasks, prioritize work and meet deadlines

  • Strong organization and planning skills, with attention to detail, and follow-through

  • Excellent written and verbal communication skills

  • Excellent customer service skills

  • Demonstrated competence in maintaining confidentiality with sensitive student information

  • Ability to make independent decisions when appropriate and utilize solid problem-solving skills

  • Ability to be flexible and adapt to the changing needs of programs and services

  • Demonstrated ability to work effectively with various constituencies, including students, parents, colleagues, and administrators
