School Summary:

California Connections Academy is a network of tuition-free public online schools for students in grades K–12. The network of schools is operated by the nonprofit California Online Public Schools and currently includes six schools serving students in 32 counties in California, including Orange and San Joaquin counties. California Connections Academy schools are accredited by the Schools Commission of the Western Association of Schools and Colleges (WASC).

Position Summary:

Working from our office, located in Ripon, CA, the Administrative Assistant is responsible for daily administrative tasks of the school and charter network, such as answering phones and emails, receiving visitors, assisting the administration and teachers with administrative tasks, filing, generating reports, completing paperwork, mail and shipping tasks, updating and maintaining school and student records (both physical files and electronic), operating office equipment, assisting with school events, and other duties as assigned. Administrative Assistants may also take on specialized roles in the organization, such as support for the Student Services, Student Records, Attendance or Finance Departments which require additional skills and training. Administrative Assistants may provide general support for the charter organization for staff and students who live in other areas of California.

The Administrative Assistant will report to the Business Services Department and will be responsible for the successful completion of some or all the following tasks:

Responsibilities:

  • Entering data into online student information systems;

  • Generating reports and processing forms;

  • Answering the phones and emails;

  • Mail and shipping duties,

  • Operating office equipment and maintaining office supplies

  • Scheduling appointments;

  • Arranging travel,

  • Various financial tasks,

  • Various errands outside the office as needed

  • Attending and contributing to various meetings;

  • Outbound communication via phone, online chat and email with various stakeholders;

  • Work with Parents and Students;

  • Work with teachers;

  • Updating and managing various types of student records, both physical and electronic;

  • Assist with school events and meetings,

  • Assist school Administration with a wide variety of daily responsibilities; and

  • Additional duties as assigned.

Preferred qualifications:

  • Special Education experience

  • Previous school office experience

  • Experience with student records and/or transcripts

  • Data analysis experience

  • Experience with Excel and Google Apps

  • Experience in a field with significant legal or compliance requirements

Requirements:

  • Proficiency with Microsoft Office tools, Google Apps and web-based applications is essential

  • Must reside in the state of California

  • Ability to multitask in a fast paced environment

  • Good interpersonal skills and attention to detail

  • Excellent communication skills, both oral and written

  • Customer focused approach

  • High degree of flexibility

  • Demonstrated ability to work well in a team environment

Physical Capabilities:

  • Ability to carry loads of up to 20 pounds over a distance of several meters on a weekly basis

  • Ability to transport loads (with assistance of dolly, cart or co-worker) 25 pounds or more over a distance of 100 meters on an occasional basis

  • Ability to move files, documents or supplies around an office space on a daily basis

  • Ability to work at a computer work station for 8 hours per day

  • Repetitive bending or twisting for a duration of approximately one hour two to five times per week

  • Occasional need to ascend a short ladder or step stool

This position ranges from $20-21 per hour based on relevant education and experience.
