HEALTH AND HUMAN SERVICES COMMISSION Administrative Asst II in Richmond, Texas

Job/Position DescriptionThis position works to support the functions of the Support Services Division by coordinating schedules, completing a varying array of tasks, and responsibilities. Performs routine (journey-level) administrative support work. Work involves disseminating information, maintaining filing systems, and performing internal administrative support work. Works under moderate supervision of the Risk Manager, with limited latitude for the use of initiative and independent judgment. This position may act as a back up to all Support Services departments specifically when vacancies occur to support operations and may also be utilized to support other departments as needed in preparation and response for survey and monitoring visits.Essential Job FunctionsAttends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agencyand#146;s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.and#149;Prepares and disseminates information concerning agency programs and services as related to Risk Management and Safety.and#149;Prepares, edits, and distributes correspondence, reports, studies, forms, and documents.and#149;Performs general office duties such as filing, answering, and routing phone calls, routing mail, and ordering and maintaining office supplies.and#149;Responds to inquiries and explains rules, regulations, policies, and procedures.and#149;Assists in preparation and conducting emergency planning meetings, risk and safety trainings, or conducting in-services on risk management related content.and#149;Assists in compiling and entering data for charts, graphs, databases, summaries, or reports.and#149;May manage and maintain schedules and travel arrangements for managers and directors.and#149;Performs related work as assigned.Registrations, Licensure Requirements or CertificationsNoneKnowledge Skills AbilitiesExperience in administrative support work.
