Description

Robert Half is looking for an experienced Bookkeeper to join our clients team in Rexford NY area.

Job Responsibilities:

Payroll:

  • Facilitate the onboarding process for new employees:

  • Ensure completion of employment application, W-4, and I-9 forms.

  • Distribute the Employee Manual and obtain acknowledgment of receipt.

  • Administer the NYS Rate Form, NYS Rate Tip Form, and Tip Calculation sheet as necessary.

  • Set up employee profiles in the Payroll Vendor System and POS time clock system.

  • Enroll eligible employees in health insurance or 401(k) plans.

Conduct weekly payroll processing:

  • Gather employee time records and liaise with managers for any discrepancies.

  • Calculate gratuities, if applicable.

  • Input hours, gratuities, and other payments into the vendor system.

  • Execute pay and employment status adjustments per management directives.

  • Ensure compliance with state minimum wage regulations.

  • Distribute payroll checks or Advice of Deposit Forms promptly.

  • Manage fund transfers to the Payroll Bank Account as required.

  • Experience with ADP software is advantageous.

Accounts Payable:

  • Manage accounts payable functions:

  • Establish new vendor accounts in software, complete with W-9 forms and payment terms.

  • Review and validate invoices for accuracy and authorization.

  • Confirm receipt of goods or services with relevant personnel.

  • Reconcile credit card charges across departmental cards.

  • Process payments on a weekly basis, adhering to vendor terms.

  • Prepare annual 1099 forms for vendors.

Month End:

  • Execute month-end financial procedures:

  • Reconcile bank accounts to ensure accuracy.

  • Conduct monthly reconciliation of Accounts Receivable and Due To/Due From accounts.

  • Generate and post journal entries as needed.

  • Update depreciation schedules and calculate posting amounts.

  • Compile monthly financial reports, including Balance Sheet and Income Statement.

  • Manage filing and remittance of sales tax obligations.

    Requirements

• Demonstrated proficiency in Account Reconciliation

• Solid understanding of Accounts Payable (AP) and Accounts Receivable (AR)

• Experience in performing Bank Reconciliations

• Strong background in Bookkeeping

• Proficiency in Data Entry tasks

• Advanced knowledge of Microsoft Excel

• Experience in managing Month End Close activities

• Familiarity with Payroll processing
