Summary The primary purpose of the position is to provide administrative and technical support to the VASNHCS Veteran Engagement Service (VES). This position assists with a wide variety of administrative and clerical tasks essential to meet the requirements of the numerous memos and directives governing the programs within the service. The position also provides procedural assistance in support of the programs in the service as they collaborate with other service lines. Responsibilities The incumbent will provide administrative support to the Veterans Engagement Service (VES) which houses multiple programs including My Life my Story Program, My HealtheVet (MHV) Program, and Veteran Experience Program (VEP). Those programs provide services to Veterans throughout the entire VASNHCS, which covers twenty counties in Northeastern California and Northern Nevada. Specific duties will include but are not limited to: - Is responsible for pulling data from various mechanisms; SHEP, Sail, Pyramid Analytics. Compiles and tracks data to support program operations and effectiveness. - Planning for time, participants, and locations of meetings to facilitate facility-wide training events for VES programs. Making arrangements for conferences using available resources (conference rooms/Microsoft Teams) - Serving as primary contact between Employee Engagement/TMS coordinator for implementing and recording of completed trainings for all facility staff participating in required trainings facilitated and administrated by VES. - Assisting with planning, coordination, execution of outreach activities (e.g., community events sponsored by VES programs and other related programs. Participates as a representative of VES in such activities as needed. - Interfacing and maintaining collaboration with Public Affairs for the dissemination and promotion of various service campaigns and communication efforts, both internal and external. - Building and maintaining an extensive internal VES SharePoint site directed at employees, including developing SharePoint pages, posting materials to sites, and auditing for expiration/deletion from the site. Maintaining a COR certification. Serving as COR Veteran Engagement Service programs as needed. - Entering work orders and Help Desk tickets for any equipment repair or Information Technology issues respectively. - Facilitating Trainings Related to VES metrics (e.g. Own The Moment). - Attaining and maintaining basic competencies in operation of the telephone communications and secure message systems. - Maintaining computer skills (e.g. Microsoft Word/Excel/PPT, CPRS, VISTA, VAE, VISIO, and SharePoint) and communication tools such as MS Outlook/Teams App, Vtel, WEBEX and VANTS Line. - Serving as recorder and transcribing committee minutes into required formatting for Veteran Engagement Service Committees and work groups as warranted and facilitates completion of formal approval and storage procedures. Ensures follow up on meeting action items by tasking to responsible staff member and tracking to ensure compliance - Submitting requests for the purchase of equipment and supplies that are required for daily function of the Veteran Engagement Service and for maintaining an inventory of these supplies. - Maintenance of Employee Six-Part File Folders; updating information to ensure accuracy and relevant information is maintained; adhere to privacy and confidentiality. - Service Line primary timekeeper; adhere to privacy and confidentiality. - Serving as point of contact for VASNHCS staff, VISN staff, community agencies and other stakeholders who contact the Veteran Engagement Service Chief. - Handling administrative correspondence for the Veteran Engagement Services such as requests for reports, memoranda, and other forms of written communication. - Composing technical, complex correspondence related to the Veteran Engagement Service. Prepares administrative correspondence covering both internal and external subject matters, to include applications for grants, recognitions, memos of understanding (MOUs), and other special opportunities for the Veteran Engagement Service Work Schedule: Mon-Fri 7:30 am- 4:00 pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS- 7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience in program administration and management; assistance with day-to-day operational duties; Communicate effectively both verbally and in writing with variety of individuals; Problem solve and apply decision making skills, sustaining processes and procedures to ensure program effectiveness; interpreting, analyzing, and responding to requests for information from internal and external entities; collecting, compiling, managing, and reporting program data; preparing correspondence and reports; utilizing automated software (such as Microsoft Word, Excel, etc.). Proficiency Requirements: In addition to meeting experience or education requirements, applicants for the Administrative Support Assistant (OA) must show possession of the following skills, as appropriate. Applicants may meet these by passing the appropriate performance test, presenting a certificate by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. Administrative Support Assistant Office Automation (OA) Clerk/Assistant: 40 words per minute typing speed. Physical Requirements: The work is sedentary in nature. Typically the incumbent will sit to perform work functions, but there will be some walking, standing, reaching, stooping, bending, kneeling, crouching or carrying light items.
