SUMMARY:

The Administrative Assistant is responsible for providing comprehensive support to key staff and the Senior Executive Assistant, by supporting HOPES strategic initiatives, business plan, and the day-to-day activities of the administrative staff and other executive functions across the agency.

MINIMUM/PREFERRED REQUIREMENTS:

  • Due to real and potential conflicts of interest that exist when HOPES Behavioral Health providers render services to their coworkers, it is HOPES policy (Policy HR0005) that HOPES employees may not access HOPES Behavioral Health Services. For the same reason, current Behavioral Health patients/clients cannot be employed by HOPES. Accordingly, you hereby acknowledge and understand that if you are receiving services from a HOPES Behavioral Health provider at the time you are offered and accept employment with HOPES, you have the option of rescinding your acceptance of employment or finding a new behavioral health provider outside of HOPES before starting employment with HOPES.
  1. Experience in a nonprofit sector is preferred. Should demonstrate an:

Exceptional organizational skills and impeccable attention to detail. 5. Ability to complete a high volume of tasks and projects with little or no guidance. 7. Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround. 8. Ability to maintain a high level of integrity and discretion in handling confidential information required. 9. Ability to work well within a cross-functional team environment and diverse communities. 10. High School Diploma required

JOB RESPONSIBILITIES/DUTIES:

TheAdministrative Assistantwill oversee routine and advanced duties for other professionals. They work closely with administrators and other employees to organize files, create correspondence and prepare reports or documents. Their job is to complete a range of clerical tasks including managing calendars, sorting mail, ordering office supplies, and taking meeting minutes. The Administrative Assistant may also be responsible for helping to plan events and managing schedules. The Administrative Assistant supports an administrative professional to help them stay organized and completes tasks that allow executives to focus on more advanced responsibilities. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. This role should demonstrate a confident and proactive skill set with the proven ability to plan, coordinate, and manage workflow.
