Job Title: Administrative Assistant 3Job Description

We are seeking a highly skilled Administrative Assistant to join our team. The ideal candidate will perform a variety of complex administrative functions for all levels of management, including external business partners. Responsibilities include managing schedules, coordinating travel arrangements, processing business expenses, and providing general office support. The role requires working onsite three days a week and remotely for two days, with flexibility to accommodate different time zones.

Responsibilities

  • Manage the calendars of three leaders, including scheduling and coordination.

  • Handle expense reports and provide travel assistance for two individuals in Redmond and one in Slovenia.

  • Work onsite in Redmond three days a week with flexibility to start early to accommodate the time difference with Slovenia.

  • Maintain a high level of discretion due to the nature of the work involving attorneys and public-facing teams in the security space.

  • Coordinate meetings and events, department financial operations, personnel operations, and facility operations.

  • Manage procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships.

  • Complete special projects as assigned.

Essential Skills

  • 5-7 years of experience in the field.

  • Minimum 3 years of experience with Outlook for scheduling meetings.

  • Minimum 3 years of experience with Office 365, including Word, PowerPoint, and Excel.

  • Minimum 3 years of experience with executive stakeholder management.

  • Strong organizational skills, attention to detail, and critical thinking.

  • Effective written and verbal communication.

  • Ability to manage and support multiple leaders.

Additional Skills & Qualifications

  • Equivalent work experience is acceptable in lieu of a degree.

  • Flexibility to adapt to business needs and work onsite as required.

  • Ability to maintain discretion due to the security-sensitive nature of the work.

  • Experience in a fast-paced environment and ability to multitask effectively.

Work Environment

The role requires working onsite in Redmond three days a week and remotely for two days. Standard equipment such as a laptop, mouse, headset, and extra monitor will be provided. The candidate must be flexible to start early to accommodate the time difference with Slovenia. The work involves supporting senior -level staff and requires maintaining a high level of discretion due to the security-sensitive nature of the work.

Pay and Benefits

The pay range for this position is $33.00 - $36.00/hr.
