The Med Tech Surgery Business Unit, a member of the Johnson & Johnson Family of Companies is currently recruiting for an Executive Administrative Assistant to the Vice President, Ethicon Supply Chain.

As the Executive Administrative Assistant, you are part of the Ethicon Global Supply Chain organization providing administrative support to Ethicon Supply Chain Leadership Team and its operations globally. The foundation of this role will be supporting the Vice-President, Ethicon Supply Chain.

Key Responsibilities

  • Manage complex calendar schedules and global travel arrangements.

  • Submit and reconcile expense reports in Concur.

  • eMarketplace administration and experience working with a procurement team.

  • Maintain and manage distribution lists.

  • Plan and schedule global meetings.

  • Assist the Ethicon Supply Chain Chief of Staff with meetings minutes and management of events for the Leadership Team and broader organization.

  • Coordinate conference room scheduling and catering for larger meetings as needed.

  • Responsible for distribution and posting of organizational announcements.

  • Manage confidential business documentation such as emails, correspondence, files, etc. with the highest level of professionalism.

  • Achieve results in the absence of day-to-day guidance.

  • Partnership with cross functional executive administrative peers across commercial, R&D, and quality, etc.

  • Manage special projects as needed.

  • Accountable for compliance with applicable corporate and divisional policies and procedures.

Qualifications

Required Qualifications

  • A Bachelors degree or equivalent.

  • Extensive experience supporting a Global Senior Vice- President

  • A minimum of 8 years of experience supporting high level executives.

  • Strong proficiency in MS Office Suite: Outlook, Word, Zoom and Teams.

  • Strong proficiency in J&J Systems/Portals: Concur, AMEX Travel, Summit, AskGS, and IRIS.

  • Global calendaring experience in a complex matrix environment understanding time zone impacts to meetings and travel schedules.

  • Excellent verbal, written communication, interpersonal skills, and attention to detail.

  • Proven ability to influence and collaborate within a global team.

  • Excellent analytical, problem-solving, organizational, and prioritization skills.

  • Self-motivated and must possess the ability to work independently with minimal supervision.

  • Flexibility to adjust to changing business environments to ensure an organized experience to internal and external teams.

  • Proven ability to build and support strong, positive relationships with multiple internal and external business partners.

  • Strong leadership skills with understanding and appreciation for regional differences

  • Display a high degree of business and emotional intelligence.

  • Demonstrate accountability for role responsibilities and actions.

  • Possesses a role model enterprise mindset.

  • Ability to manage complexity and ambiguity.

  • Maintain the highest standards of integrity.

The base pay range for this position is $69,000 to $110,400.

The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporations performance over a calendar/performance year. Bonuses are awarded at the Companys discretion on an individual basis.

  • Employees may be eligible to participate in the Companys consolidated retirement plan (pension) and savings plan (401(k)).

  • This position is eligible to participate in the Companys long-term incentive program.

  • Employees are eligible for the following time off benefits:

  • Vacation up to 120 hours per calendar year

  • Sick time - up to 40 hours per calendar year; for employees who reside in the State of Washington up to 56 hours per calendar year

  • Holiday pay, including Floating Holidays up to 13 days per calendar year

  • Work, Personal and Family Time - up to 40 hours per calendar year
