Department: Radnor Shared Services

Summary:

  • The Penn Medicine Center for Health Care Innovation spans the University of Pennsylvania Health System and the Perelman School of Medicine and aims to advance their missions through the disciplined creation, evaluation, and implementation of change.

  • The Administrative Assistant provides support for two Penn Medicine Directors (Center for Digital Health and the Nudge Unit).

Responsibilities:

  • Manages the calendars of the two Directors. Anticipates needs related to effective meeting participation and management for assigned individuals.

  • Schedules meetings for Center/Unit projects; manages the Center/Unit team calendar.

  • As needed, handles travel: booking, scheduling, preparing materials, reimbursement.

  • Develops drafts of correspondence.

  • Orders supplies for Center/Unit projects.

  • Assists the Directors with invited lectures/talks/presentations; sends out slides, coordinates logistics, etc. Assists with preparing for and overseeing retreats for the Center/Unit.

  • Assists the Director of the Nudge Unit with classes - receiving, preparing and collecting assignments (coordinating with the class TA for this), sending emails to the class, etc.

  • Assists with the onboarding of new hires and off boarding. Is the liaison for groups/individuals who are interested in doing a project with Center/Unit (this would entail managing the Center/Unit email and scheduling meetings with these groups).

  • Is the liaison for students/collaborators (setting up meetings, onboarding them, sending out documents, etc.). Is the liaison for marketing/communications groups for news releases and publications groups (CHCI, UPHS, CHIBE, LDI).

  • Responds to and helps to manage executive requests.

Credentials:

Education or Equivalent Experience:

  • Bachelor's Degree preferred.

  • H.S. Diploma/GED

  • 5+ years Experience providing administrative support to senior level management, preferably in a University or academic medicine environment preferred.
