Location
This position is 100% remote; t his position does not require travel other than for special occasions like conferences or events. NYC is preferred
Overview
Reporting to the Assistant Manager of On-Site Operations, the Operations Coordinator is responsible for coordinating staff training, providing on-site support, and performing data entry, transcription, and reporting for onsite occupational health service events. In this position, they will coordinate with internal project management, clinical, and operations resources to support the full life cycle of one-time and ongoing on-site programs. The incumbent in this role is effectively a “traffic cop” between all existing resources within Mobile Health and the event staff to ensure programmatic success.
Essential Duties & Responsibilities
Essential duties include but are not limited to the following:
Serve as primary contact for staff on-site – confirming their arrival and set-up, supporting them through the event, troubleshooting and escalating when needed
Transcribe data in real time and post-event into EHR
Create and manage various types of event related documents. Including but not limited to; patient check in sheet, specimen labels, and procedure records
Coordinate and conduct staff and client training sessions
Manage technology platforms used by staff in support of the program, including but not limited to communication platform(s), time tracking, and training and credentialing
Communicate event inventory needs and assist with shipping logistics
Liaise with third party lab partners on specimen pickup and/or shipping
Resolve operational challenges as they arise, escalating when necessary
Troubleshoot any IT-related issues in conjunction with IT support
Prepare accurate reports and submit to necessary city & state entities/stakeholders, including but not limited to test results and procedures, incentive programs and attendance
Any other duties as directed by Management
Experience & Education
Technology savvy with strong working knowledge of Microsoft Office, particularly Excel and Word, including keyboard shortcuts, mail merges, and other common editing tools
Bachelor’s degree preferred; relevant work experience considered
2 or more years of experience in customer service, operations, and/or logistics management
Ability to work with little supervision and multi-task, often tracking multiple onsite events simultaneously.
Ability to work a flexible schedule occasionally outside of normal business hours
Capacity to take initiative to problem-solve, course-correct, and suggest process improvements
No ego approach to work; need to be willing to roll up your sleeves and do whatever it takes to get the job done
Ability to work with internal and external personnel to achieve programmatic success for the client
Keen on working in a fast-paced environment where requirements can change on a dime
Logical and analytical mindset
Excellent written and verbal communicational skills
Outstanding organizational and coordination abilities
Experience in occupational health and/or primary care (not required, but a plus)
