BYU Mail Service Supervisor in PROVO, Utah

Job Summary

This position is responsible for the timely and accurate processing of all outgoing university mail. This includes ensuring adherence to all United States Postal Services rules, regulations and requirements while meeting the individual needs of all campus departments. This position is a working supervisor position for high volume production and First-Class Mail processing area. It also has a responsibility to help at the front counter when needed. Oversee processing of Independent Study Exams, including printing and mailing of exams. Thorough knowledge of USPS rates and regulations. Maintain University Employee Address database. Work as assigned to support all Mail Services Operations.

Essential Functions 1. Manage daily production mail operations

Coordinate daily production jobs. Assign specific daily duties. Organize mailing material and stage for production. Identify problem conditions and resolve issues. Operate high speed mailing equipment. Maintain adequate working balance with USPS accounts. Train, hire and supervise employees.

  1. Oversee operation of First-Class Mail Processing Area

Ensure mail is processed efficiently and billed accurately. Assist in processing outgoing mail. Maintain thorough knowledge of USPS mail piece preparation. Conduct delivery time survey periodically Train, hire and supervise employees.

  1. Oversee processing of Independent Study Exams

Ensure tests are printed and sent correctly daily. Maintain equipment for maximum quality. Have working relationship with Xerox and Independent Study Resolve concerns. Train, hire and supervise employees.

  1. Maintain University Mailing and Address System

     Maintenance of personnel and departmental addresses/locations in the Production Services queue. Keeping in constant contact with university department personnel to ensure that addresses are accurate and kept up to date. Update employee changes such as positions, titles, department affiliation, building moves, retirements, etc. Provide accurate and timely updating of the university personnel address database. Perform building audits frequently to maintain personnel changes and department information, contacting departments directly when needed. Maintaining an accurate knowledge of the locations and addresses of more than 4,500 university personnel, and 200 departments. This requires a great deal of memorization and the ability to stay up to date on the frequent changes at the university.

  2. Customer Counter Support and General Support

Work front counter daily during primary receiving and sorting operations, (normally 2 hours). Ensure all shipments conform to Federal and International Air Transport Association regulations and university policies. Maintain knowledge of all rates, regulations, and services provided by private carriers. Track missing or delayed shipments. Receive and help customers who call in with questions about shipments using Qtrak/Pace/etc. Work front counter as needed as assigned. Knowledge of campus rou tes, DOT Physical, Train drivers as needed.

Minimum experience required:

Minimum Required: 1 year production mail experience. Preferred: 3 years production mail experience

Some College

Preferred:

Bachelor's degree

Skills, abilities, knowledge, licenses, certifications: Required

Strong customer service skills Strong communication skills Teamwork Flexibility Ability to obtain a DOT Physical to drive Mail Service vehicles

  Employee Class: 3/4 Time (28 hour) Work Location: Provo Campus

Environment: Periodic exposure to unfavorable conditions. Need to be in variable temperatures or wet environments, etc.

Physical Exam Required: Y Physical Exam Details: Lifting and carrying heavy orders up to 50 ls Loading, pushing, pulling heavy carts into trucks

Pay Level: 48 Approximate Starting Salary: $19.25 - $25.00
