We are looking for someone who is/has:

  • Extremely detail-oriented
  • Able to juggle multiple projects at once
  • Able to quickly pivot directions as needed
  • Able to work with a wide variety of people both internally and externally
  • 1.5 + years of experience in event planning
  • Background or proficiency in experience design techniques

Key Responsibilities

Event Calendar Management

  • Centralized Event Calendar: Maintain a comprehensive event calendar as a resource for internal stakeholders, keeping the team aligned on timelines, logistics, and promotions.
  • Cross-Channel Promotion: Collaborate with Resource Development and other seasonal programs to help promote events across social media, email, and other channels. Include short event descriptions and CTAs for a consistent event marketing brand and message. Leverage audience profiles and data to influence event strategy.

Event Strategy, Planning & Execution

  • Lead Events: Oversee planning and execution of significant events, including Tocqueville Society and Service Projects, Leadership Donor Events, Emerging Leaders gatherings, Day of Caring, and United Way office/program tours, Board of Directors and Executive Committee meetings, and more as needed.
  • Manage and Collaborate with Teams: Lead cross-functional teams, coordinate with vendors, and collaborate with stakeholders to ensure seamless event execution. Foster clear communication and teamwork to bring event visions to life while meeting deadlines and budgets.
  • Leverage audience profiles and data to influence event strategies and tactics.
  • Community Center Openings: Manage all event design and logistics for new Community Center openings, including tour arrangements and coordinating with internal teams and Paratransit.

Project Management

  • Event Timelines & Logistics: Set deadlines, secure venues, coordinate catering and equipment, and prepare thank-you gifts, as well as public communication schedules.
  • Promotional Materials: Collaborate with senior staff and create a quarterly events budget to ensure promotional content and items align with event objectives across print, video, and digital.
  • Social Media & Articles: Work with the Social Media and Brand Strategist (Danielle) to ensure engaging social media and article coverage before, during, and after events. Handoff priority event articles for monthly newsletter content.
  • Promotional Item Management: Source, brand, and order event-related gifts, awards, and apparel in a timely and cost-effective manner.

Reporting & Metrics

  • Post-Event Debriefs: Provide insights and recommendations to improve future events, tracking metrics like attendance, engagement, and social media reach.
  • Other misc. projects as directed

Work Schedule:

Typically, 8:30 a.m. - 5:00 p.m. Monday-Friday (Full-time; 40 hrs. /week). Will be expected to work evenings and weekends as needed to cover various events. The position reports to the Marketing Director.

Physical Activity: In the course of perfo rming this job, the incumbent typically spends time sitting, walking, standing, listening, speaking, writing and operating a personal computer. Frequently, he/she will be required to drive an automobile to attend meetings or events within the community. Occasionally, he/she is expected to lift and carry office records and supplies up to 15 lbs.
