Position Information

Position Title Administrative Coordinator

Overview

Provide administrative and technical assistance for the Information Technology department in support of the Sr. Associate Vice President/ CIO and the management team.

Essential Duties:

  • Answer phones, manage department calendar/meetings, maintain department supplies, and greet and direct visitors to appropriate areas or persons. Sort, open, distribute, and route individual or departmental incoming mail and prepare outgoing mail. Coordinate internal and external attendees’ calendars; reserve/schedule meeting rooms and make arrangements for equipment, seating, and refreshments. May organize and coordinate special events or programs.

  • Work with the Sr. Associate VP, the Assistant VP, and the directors to submit the fiscal budget. Track and report on current budget amounts and status, collect budget requests and justifications from the IT groups and consolidate as needed, and enter and submit budget into Banner.

  • Manage purchase order requests as well as Amazon, WB Mason, and Grainger non­ purchase order based, and accounts payable processing for the department.

  • Serve as a support resource for the Director of Technology resources and the Software Trainer & Support Specialist by attending new workshop sessions and provide feedback on the pace, content, and clarity of the training. Enter all workshop sessions in 25Live with dates, times, and duration. Send meeting invites to the work attendees.

  • Perform intermediate and advanced computer functions including managing databases, creating, analyzing, integrating, and importing linked spreadsheets; create mail, envelope, and table merges; create and edit captions; add graphics; edit images, footnotes, endnotes, indices, tables of content, and create master documents and reports using information from several sources.

  • Serve as department liaison for campus cellular devices and the creation of cellular vendor sub-accounts for campus departments.

    Marginal Duties:

  • Perform all other duties as may be required.

    Education and Experience Required

  • Associate’s degree from an accredited institution required.

  • Three to five years’ of office experience or an equivalent combination of education and expenence.

  • Excellent writing and communication skills.

  • Excellent computer skills including excel, word, and web editing.

  • Ability to support technical innovations.

  • Pro-active with the ability to work in a time-sensitive environment.

    Physical Demands

  • Sitting in a normal seated position for extended periods of time.

  • Reaching by extending hand(s) or arm(s) in any direction.

  • Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.

  • Communication skills using the spoken word.

  • Ability to see within normal parameters.

  • Ability to hear within normal range.

  • Ability to move about.

Salary Grade 17 (Min. $21.15/Mid. $27.50/Max. $33.85)
