The Andlinger Center for Energy and the Environment seeks a Grants Manager to administer the financial and administrative operations of research projects for faculty and scholars, including sponsored research awards and non-sponsored research activities. The multidisciplinary research center translates ideas into technological solutions for energy and the environment, by fostering research and innovation. The Grants Manager plays a vital role in supporting faculty and scholars in managing external and internal research funding, including pre- and post-awards activities, financial report activity, and policy compliance.

This position maintains a comprehensive knowledge of research portfolios and provides effective guidance to principal investigators (PI) on how to best use sponsored research resources. The position ensures departmental and university compliance of sponsor, federal, and university regulations, policies and procedures. The Grants Manager reports to the Senior Grants and Finance Manager and assists with implementing departmental and center processes, workflow, policy and procedures.

This position is designed for a hybrid work schedule, allowing for a blend of in-office and remote work to foster collaboration and flexibility. For those with a proven track record and exceptional qualifications, fully remote arrangement can be considered.

Responsibilities

This position is responsible for all aspects of pre- and post-award grant administration, including preparation of research budgets and proposal materials and ensuring all University and sponsor guidelines and deadlines are met with accurate and complete materials.

Pre-award responsibilities

  • * Communicate sponsored research and university policies and regulations to faculty, researchers, staff, and students, ensuring compliance;
  • * Facilitate proposal preparation and submission procedures; guide the PI through the application process and ensure requirements are fulfilled;
  • * Prepare and review all required documentation and assist faculty with COI disclosures; support SciENcv and ORCID;
  • * Act on all procedures in a timely manner, ensuring to meet the sponsor's deadline;
  • * Initiate and coordinate sub-award/contract process;
  • * Prepare proposal submissions to the Office of Research and Project Administration (ORPA) and applicable funders through the Princeton University Grants Management System and/or the appropriate sponsor system, such as Grants.gov, NSF Research.gov, or directly to the sponsor;
  • * Confirm proposals are submitted to and received by the agency.

Post-award responsibilities

  • * Review notices of award for special restrictions and conditions.
  • * Prepare financial reports and provide financial analysis of sponsored research spending; monitor expenditures on active projects, and communicate with faculty on activity and projection reports;
  • * Address grant extensions, supplements, re-budgeting and transfers to other institutions.
  • * Administer salary certification process to ensure accurate and timely effort reporting; enter labor allocations, ensure personnel changes are in accordance with sponsor regulations; manage faculty summer salary allocations;
  • * Review and approve requisitions, invoices, and travel and expense reports (Concur) on research projects and ensure compliance with university and sponsor regulations and policies; capital equipment purchase coordination and approvals,
  • * Perform no-cost extensions, pre-award spending requests, incremental funding requests;ensure appropriate activity on subawards; process setup and modifications;
  • * Act on award renewal and final report deadlines in a timely manner;
  • * Oversee award closeout process; process any administrative or budgetary sections of reports and assist Sponsored Research Accounting in preparing interim and final financial reports;
  • * Work with other universities and sponsors on the transfer or relinquishment of grant awards;
  • * Identify erroneous charges and prepare cost transfer documentation for PI review and submission as necessary;

Compliance

This position serves as liaison to and works closely with the Office of Research and Project Administration (ORPA) and Sponsored Research Accounting (SRA) to ensure compliance of reporting requirements and timely submission of progress reports, financial reports, and other reports. The Grants Manager must stay up-to-date on sponsor guidelines, federal regulations, and university policies, and attend regular trainings to maintain current working knowledge of continually evolving sponsor research policies and procedures.

The Grants Manager evaluates and recommends operational efficiencies and improvements to business processes.

The position assists the Senior Grants and Finance Manager with other tasks in support of faculty research.

Qualifications

The candidate must be capable of managing multiple proposals at once, meeting hard deadlines, and be able to work with campus units on collaborative submissions.

Required

  • * A bachelor's degree in business or equivalent
  • * 3-4 years of related work experience
  • * Exceptional analytical, problem-solving, and decision-making skills
  • * Proficient in Microsoft Office suite of products, especially Excel, Word, and Outlook
  • * Strong background in budget development, financial analysis and reporting
  • * Exceptional attention to detail; excellent organizational and project management skills; strong written and verbal communications skills
  • * Ability to work proactively on multiple projects simultaneously in a fast-paced environment
  • * Exercises independent judgment to plan and prioritize diverse workload, takes initiative, and is self-motivated
  • * Experience with a university grants management system and Grants.gov, NSF Research.gov, and other sponsor systems.

Preferred

  • * A firm understanding of university, sponsor, center, and Uniform Guidance policies is preferred.
  • * Experience with Princeton University systems including PeopleSoft, Prime Financials, ERA, Labor Accounting, and Information Warehouse
  • * Familiarity with university offices including ORPA, Finance and Treasury, and Sponsored Research Accounting
  • * Familiarity with Princeton's administrative procedures and policies.
