Wolters Kluwer is seeking a highly organized and proactive Executive Assistant to support one or more senior technology executives within the Digital Experience Group. The ideal candidate will be a master of multitasking, with the ability to manage a wide range of administrative and executive support-related tasks. This role requires a high level of professionalism, confidentiality, and attention to detail. Responsibilities include calendar management, coordinating travel arrangements, preparing reports and presentations, and various communications. The successful candidate will have excellent communication skills, both written and verbal, and the ability to interact with staff at all levels in a global organization, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient. Essential Duties & Responsibilities:
Manage calendar and schedule appointments for assigned executive(s), working across many different time zones and collaborating effectively with stakeholders in other geographies and cultures
Plan virtual and in-person meetings and events
Coordinate travel arrangements and itineraries, domestically and internationally
Assist with the timely and accurate submission of expense reports
Prepare and edit correspondence, communications, presentations, and other documents
Conduct research and compile data for reports and presentations
Handle confidential information with discretion
Liaise with internal and external stakeholders on behalf of assigned executive(s)
Organize and prioritize large volumes of information and calls
Prepare meeting agendas, take minutes, and follow up on action items/deliverables
Assist in the preparation of executive presentations
Monitor and respond to emails and other communications on behalf of the executive(s), as appropriate
Gather, maintain and organize files and records, including maintaining MS Teams channel(s)
Process invoices and purchase orders
Coordinate the onboarding and offboarding of employees and consultants
Manage special projects as assigned by executive(s)
Job Qualifications:
Education: High school diploma required; associate degree or equivalent preferred.
Experience:
5+ years of executive assistant experience in a professional environment
Experience working in large, multinational company and across time zones, required
Must be comfortable working independently with minimal supervision - resourceful, flexible, proactive in fast paced environment
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, etc)
Strong communication at all levels of organization, including communicating at Executive level with confidence
Other Knowledge, Skills, Abilities or Certifications:
Experience working with senior level IT executives, preferred
Knowledge of Workday, Egencia, Concur, Coupa, Project Management tools, etc
Strong project management skills
Knowledge about international travel, including visas
Knowledge of financial terms and templates for compiling presentations/reporting
Strong written and oral communication skills – fluent English is required
Excellent organizational skills and ability to multi-task and prioritize effectively
Flexibility to adapt to changing priorities and deadlines, and ability to remain calm under pressure
Strong interpersonal skills and the ability to build relationships with stakeholders at all levels and across different cultures
Strong attention to detail and problem-solving skills.
Ability to handle sensitive information with discretion
Self-motivated and ability to work independently and within a team
Ability to create professional PowerPoint decks for executive presentations
Ability to create Excel files that include pivot tables, vlookup, and other advanced functions

Compensation:
Target salary range CA, CT, CO, DC, HI, IL, MD, MN, NY, RI, WA: $63,150 - $87,250
