ARMADA Ltd. Administrative and Operations Support Specialist in Powell, Ohio

Type: Part-time with option to transition to Full-time. Average 25-35 hours; some weeks may be 40 hours., whereas others may be 25-30 hrs. Location: Telework w/ some Powell, OH support Overtime Exempt: No Reports To: ARMADA HQ Security Clearance Required: None Duties & Responsibilities Overview: ARMADA is seeking an Administrative and Operations Support Specialist who is eager to get involved in business operations. The Administrative and Operations Support Specialist will provide administrative, operations, human resources, and accounting support. This individual needs to have a technical mindset/capability and be open to completing the other administrative tasks. Candidates should recognize this is an entry level position supporting multiple facets of the organization. Duties & Responsibilities: The below list of duties and responsibilities is subject to change and other duties may be assigned. Operations (35%) Organize and maintain physical and digital filing systems. Track stocks of office supplies and place orders when necessary. Administer travel insurance for employees traveling out of the country. Manage travel arrangements and expense entry for students and staff. Draft and edit letters, reports, and other documents. Input and update information in databases and spreadsheets. Monitor and update company social media and website. Assist with general office support and research (internet, phone, copier, calls, insurance, etc.) Human Resources/Recruiting (30%) Format applicant resumes in Government client required templates. Update onboarding templates for each Government contract. Schedule virtual and onsite interviews for Project Managers and Site Leads Assist with onboarding during contract transitions/busy season. Conduct reference checks. Administrative (25%) Provide administrative support to ensure efficient office operations. Manage relationships with vendors and place orders. Order company credit cards and equipment for new employees. Work closely with other corporate staff and support other colleagues as needed. Accounting / Finance (10%) Support basic JAMIS and isolved entries. Assist with researching Labor and ODC cost items for proposals. Knowledge, Skills, and Abilities (KSAs): Proficient computer skills, including Microsoft Office Suite software. Strong verbal and written communication skills Comfortable with routinely shifting demands. Data management and entry skills, including the ability to maintain and improve filing systems. Accurate record keeping, and efficient time and schedule management skills Ability to professionally interact with customers, colleagues, and executive leadership at all levels; and to foster positive business relationships. Must have excellent organizational skills and be detail oriented. Possess excellent typing abilities and the skill to prepare documents accurately with minimal errors. Working knowledge of general office equipment Time management, multitasking, and flexibility Proactive approach to problem-solving and process improvement Ability to work well independently and in collaboration with others. Minimum Experience / Education: High school diploma.
