Procurement Executive Assistant
Location: Hybrid (Mexico City, Lomas de Chapultepec)
Job Description: As a Procurement Executive Assistant, you will be responsible for supporting the Chief Procurement Officer and the Procurement leadership team with select administrative activities, meeting management activities and performing analyst activities by analyzing procurement data, assist with managing procurement systems, and supporting the procurement team in optimizing processes. You will play a key role in ensuring the efficiency and effectiveness of our procurement activities, leveraging advanced analytical tools and methodologies.
Key Responsibilities:
Takes independent action on handling requests; determines the appropriate course of action, intervenes where necessary, and acts as a liaison between the leadership team, staff members, suppliers, and stakeholders.
Manage communications activities within the department, including preparation of presentations for staff meetings, organizational memos, and updates on departmental initiatives.Plays a key role in the office in Mexico City by driving a positive culture recognizing birthdays, highlighting site events and organizing icebreakers and team events.
Leads and monitors issues for appropriate follow up, determining what action is required to resolve.
Creates, maintains, and/or updates various databases, helping to analyze and present data for management reporting purposes.
Plans, coordinates, and supports meetings and conferences. Arranges domestic and international travel from time to time and performs executive expense reporting
Helps with onboarding and offboarding employees by placing needed orders for equipment and other items.
Additional Activities depending on the skillset of the candidate
Data Analysis: Analyze procurement data to identify trends, cost-saving opportunities, and areas for improvement.
System Management: Manage and maintain procurement systems, ensuring data accuracy and system efficiency.
Reporting: Develop and generate reports using Excel and Power BI to provide insights into procurement performance.
Process Improvement: Support initiatives to improve procurement processes and enhance operational efficiency.
Collaboration: Work closely with the procurement team and other departments to align procurement activities with business goals.
Market Research: Conduct market research to stay informed about industry trends and best practices.
Special Projects: Work on creating PowerPoint decks, issuing training, helping upkeep team documentation and other key activities as needed by the department.
Requirements:
Education: Bachelor's degree in Business Administration, Finance, or a related field.
Experience: At least 2 years as an executive assistant or meeting planner with more experience being ideal
Technical Skills: Proficiency with PowerPoint and Word and Preferably Excel
Communication Skills: Advanced English proficiency, excellent verbal and written communication skills
Interpersonal Skills:Good skills with people and high emotional intelligence.
Hybrid Position: Ability to work in a hybrid environment, combining remote and on-site work.
