The Administrative Assistant will be responsible for performing office support activities for multiple firm staff and Partners which will include, but is not limited to,implementing administrative systems, procedures, and policies, and monitoring administrative projects.

Ability to professionally and effectively handle communication with internal personnel as well as external clients - via phone, e-mail, or in person - taking detailed messages as needed
Assist in the preparation, proofreading, editing, and processing of documents including, but not limited to, correspondence, financial statements, Chapter 13 reports, Department of Labor reports, client related correspondence, etc. in order to produce error-free work
Process client tax returns and mailings as necessary
E-file tax returns as necessary
Support assigned Partner(s) as necessary, with time and expense entry, travel arrangements, billing, CPE tracking, sales reports, margin reports, and other Partner needs as requested
Organize, update, and maintain calendars for assigned Partner(s)
Coordinate logistics for meetings, conference calls, and transcription of meetings as necessary
Work cohesively with other team administrative staff as well as provide assistance to other departments as needed
Assist Office Manager, assigned Principals and Managers as necessary, and team employees
Provide back-up assistance at reception desk as needed
Enter, transcribe, record, store, and/or maintain information in written or electronic form
Assist with preparation of client proposals as necessary
Develop and maintain the technological skills required to function at peak efficiency
Ability to cross-train and learn others' administrative responsibilities to provide backup assistance as needed
Assist with mailings as needed including, but not limited to, UPS, Fed Ex, Certified mail, incoming or outgoing mail
Assist in all other administrative areas as needed
Adhere to the highest degree of professional standards and strict client/firm confidentiality
Knowledge of typical office methods and procedures, filing, telephone techniques, and office equipment, as well as business English usage, spelling, grammar, and punctuation
Expertise in Microsoft Word, Excel, and Outlook; Proficient in PowerPoint
Superior level of accuracy in work and attention to detail


4+ years of relevant experience
Associate Degree or HS diploma with equivalent work experience
Able to work in the office daily, Monday - Friday 8:00am - 5:00pm with additional hours on an as needed basis
Strong customer service, verbal and interpersonal skills
Excellent time management skills, including planning and prioritizing
Ability to multi-task and take direction
Ability to work as part of a team as well as independently
Ability to work additional hours during tax season and other time periods throughout the year is critical
Hours of Operation
Our office hours are 8:00am-5:00pm.
Our summer hours are 8:00am-5:00pm Monday-Thursday and 8:00am - 12:00pm on Friday.
The ability to work additional hours during busy season is critical.
