Direct Hire Salary: $22-$23/HR Position Summary: The Assistant Property Manager will report and communicate the condition of all real estate properties they are assisting with. While emphasizing a safe and decent living environment for residents and owners. Responsibilities: Financial Management: Assist in the preparation of annual operating and capital budgets for each managed property and receive approval from the owner, association, trust, finance agency etc. Assist in the preparation and submission of annual rent or maintenance fee increases as deemed necessary. Assist in fiscally operating managed properties within the approved budgets Working with Supervisor, develop a financially viable long term physical replacement and/or capital needs program for each managed property Review and analyze monthly financial statements for each managed property for discussion Assist in collecting unpaid rents and maintenance fees General Administrative Management: Attend general staff meetings and all other meetings/trainings as required Review daily, weekly, monthly, and annual reports of managed properties with Property Manager Work with Supervisor to ensure that the proper staffing levels are maintained, site staff are properly trained, and supervised and assist with performance evaluations. Accompany Property Manager when meeting with Site Staff, Trustees, Directors, Owners, and other organizations or their representatives during site visits Monitor and file all property reports as requested Prepare required reports for Trustees, Directors, Owners, and other organizations or their representatives as requested. Review all completed work order request forms and discuss any matters needing attention with supervisor Be familiar with and assist in performing both property and asset management functions when appropriate as detailed by the Institute of Real Estate Management Assist with annual apartment inspections as requested by Property Manager Perform a site visit of each property at least weekly reviewing any pending matters with supervisor Responsible for following and implementing the rules and regulations as outlined in the Policy and Procedures Manual Ensure compliance with federal, state, and local agency regulations, management contracts, property documents, office procedures, etc. Must be aware of and keep current with industry trends. Be aware of and try to produce referrals for new business opportunities Physical Management: Evaluate physical condition of managed property upon each site visit and report findings to supervisor Assist with the development and implementation of energy conservation programs Assist Property Manager in bidding major projects in accordance with federal, state, or funding agency guidelines Assist Property Manager in coordinating and supervising major repair and capital improvement projects. Coordinate and supervise work performed by outside contractors and reporting any matters to the Property Manager Coordinate and schedule apartment preparation with Site Staff and Leasing Department for tenants moving in/moving out Ensure compliance with managed property preventative maintenance program Ensure Site Procedure Manual is being followed by all site staff noting areas for the Property Manager to address. Ensure Site Procedure Manual is updated as needed confirming compliance to Property Manager Ensuring Emergency Binder is current and always located in the proper location Position Requirements: Must have a valid driver's license Must be available for On Call Proficient in Microsoft Office Excellent verbal & written communication skills Must have high organizational skills & the ability to multi-task High School Diploma or equivalency required Associates Degree preferred
