Robert Half Senior Administrative Assistant in Pittsburgh, Pennsylvania

Description We are seeking a Senior Administrative Assistant to join our team in PITTSBURGH, Pennsylvania. This role offers a contract to hire employment opportunity. As a Senior Administrative Assistant, you will be responsible for a variety of administrative duties, including database management, event planning, and communication coordination.

Responsibilities:

• Manage the database, ensuring all member, committee member, and volunteer information is up-to-date

• Generate and distribute rosters/lists as required

• Oversee the planning and coordination of special events

• Maintain the calendar, scheduling appointments, and meetings as necessary

• Prepare materials for worship services and other church activities

• Act as an administrator for the Church security system software

• Organize and record meeting minutes as needed

• Assist in the preparation of annual statistics for the Church Record book

• Collaborate on communications, church mailings, bulletins, and announcements with the Coordinator of Communication Technologies

• Handle incoming calls, take clear messages, and return calls when necessary

• Welcome visitors and attend to their needs

• Organize and manage U.S. postal mail

• Draft and type various documents and correspondence

• Maintain organized and up-to-date files

• Manage the staff schedule and keep a record of staff leaves

• Record weekly worship attendance

• Attend team meetings as requested and monthly all-staff meetings

• Perform other duties as assigned. Requirements • Minimum of 5 years of experience as an Administrative Assistant or in a similar role

• Proficient in Microsoft Office Suite including Microsoft Word, Excel, Outlook and PowerPoint

• Excellent customer service skills and experience answering inbound calls

• Experience with both inbound and outbound calls

• Strong data entry skills with attention to detail and accuracy

• Ability to manage email correspondence professionally and efficiently

• Experience in scheduling appointments and managing calendars

• Ability to multitask and manage time effectively

• Strong written and verbal communication skills

• High level of discretion and judgment in handling confidential information.
