Position Summary
This opportunity is responsible for the operation of the centralized telephone control system and associated systems. The Receptionist responsibilities also include greeting clients, receiving calls, determining the nature of business and directing callers/visitors to the appropriate office personnel. Other key responsibilities include performing assigned clerical tasks supporting Records Management. The Receptionist will maintain the organization, cleanliness and professional appearance of the front desk workspace and reception area. The Receptionist must maintain confidentiality of information received and exercise discretion when providing information about staff, students and all matters associated with the Program.
Essential Responsibilities
To ensure that all communications are received and forwarded to appropriate personnel through operation of telephone system using a professional and friendly demeanor, receive, forward and direct all incoming calls, messages, and visitors to appropriate staff, and receive, greet, assist, and direct all visitors.
To ensure the front desk is operating efficiently, generating a professional atmosphere the Receptionist handles emergency situations as outlined and established in protocols and procedures, receives, signs, and notifies of deliveries, distributes incoming and outgoing mail through carriers, distributes incoming and outgoing faxes, and reserves conference rooms as needed.
Completes all clerical tasks and projects for Education Programming, meeting set deadlines and timeframes, and post the daily program training, vacation, and staff out list in established common area.
Compiles medical records/case records in the manner specified by the Program/Education Director for all Day School students within one week of their entry date.
Reviews medical records of all enrolled students and remediates records which are misfiled and/or contain incomplete information to meet requirements for completeness.
Forwards necessary immunization and health records to receiving school district at discharge.
Obtains necessary bus tickets/transfers for student use and makes them available to students, as designated by the Coordinator of Program Services.
Tracks liaison activities.
Assists with the compilation of student attendance reporting.
Mails and forwards appropriate documents and correspondence to internal/external agencies, school districts and parents as requested and upon receipt of properly authorized requests.
Qualifications
Clearances. State Police; FBI clearance; child abuse clearance; CPSL Mandated Reporter-Recognizing and Reporting Child Abuse training; any additional background checks/clearances required by state governing bodies.
Valid driver’s license and current vehicle insurance.
Working Conditions
Physical Demands. This position requires a low to moderate level of physical activity. Sitting for long periods of time. Employee must meet minimum requirements for Hearing, Speech and Vision. Hearing; not applicable for the School for the Deaf.
