We are searching for a Program Manager to join the Executive Education, Tepper School of Business team. This is an excellent opportunity if you thrive in an interesting and challenging work environment. You will contribute to the department by overseeing the high visibility program planning and delivery logistics for our non-degree executive education custom and open-enrollment programs. This position coordinates all operational aspects of assigned events, manages communications, program logistics, and is responsible for efficient, cost-effective program administration with the goal of providing extraordinary customer service in online, on-campus/in-person, and/or hybrid environments. Program Managers maintain a close working relationship with clients, both sponsoring executives and participants, through ongoing interactions both in person and via email and/or telephone. Responsibilities also include promotion and cross-selling of open-enrollment and/or custom programs within the Tepper Executive Education portfolio.

Core responsibilities will include:

PROGRAM DELIVERY

Ensure effective delivery on all operational aspects of assigned executive education programs or other events in collaboration with clients, faculty/staff, computing and audio-visual departments, and internal and external departments;

Provide program on-site assistance; online support for digital programming; post-program break-down. This may include weekend, evening, and early morning hours depending on the program;

Manage pre and post program communications with participants, faculty and/or associated partners on a timely basis. This includes, but is not limited to, preparation of welcome letters, logistics information, attendance verifications, Visa requests, setting-up classroom venues, updating the learning management system, technology assistance, and coordination of faculty, participant, and/or partner needs;

Actively participate in program planning meetings as well as post-program evaluation process and debrief meetings;

Participate in the continual improvement of existing operational plans for program delivery, apply current and future technology tools to enhance automation and efficiency, and maintain complete files on all programs to ensure smooth delivery of future program offerings;

Over time, grow a small portfolio of open enrollment programs and clients to manage;

PROGRAM BUDGET MANAGEMENT & FINANCIAL STEWARDSHIP

Process invoices and payment requests, track outstanding balances, and follow-up with the business office and accounts payable department;

Manage a budget for program delivery that balances the goal of providing exceptional customer service within prescribed cost parameters. Works with internal team to negotiate with third-party vendors of these services and prepare partner invoices;

RECRUITMENT & MARKETING

Act as representative of Tepper Executive Education to the domestic and global business communities. Support business development activity through meetings with potential clients and participants, representing Tepper Executive Education on conference calls, showcasing Executive Education capabilities, and contributing to proposals;

Promote Executive Education events and services through cross-selling initiatives via telephone, online meetings, information sessions, conferences, through attendance at breaks, receptions, meals, and other special e ents;

Serve as the primary interface for executive education inquiries, advising prospective participants on program selection;

Respond independently to inquiries from clients, sponsors and participants;

Partner with the director, faculty, and marketing team to create compelling print and online content for marketing materials;

Other duties as assigned

Ability to pay close attention to detail, work on multiple tasks, prioritize work, and follow through reliably;

Capability to anticipate logistical needs proactively, follow processes, and look for opportunities for efficiency gains/process improvements;

Fundamental knowledge of invoicing and tracking spend against budget.

Qualifications:

Bachelor's degree required

3-5 years of experience required; experience with executive education, program and/or conference coordination in higher education or industry is highly desired

A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)

Experience with Canvas LMS, Qualtrics, Adobe, Salesforce, HTML and Intrepid preferred

Experience with Oracle financials and Workday preferred

Flexibility for evening/weekend hours and ability to travel required

Work Posture: this position is operating on a hybrid schedule, with an on-campus/in office presence 3 days/week depending on business needs
