Responsibilities:

  • Partner with other departments and internal customers to establish effective workflow to facilitate communication and teamwork between departments.Develop and maintain policies and procedures as needed to assure compliance with CMC guidelines and ensure staff are properly trained on any new or updated policies.

  • Design and issue reports that provide staff and upper management with precise performance indicators to accurately and effectively manage results by key processes. Uncover procedural and operational opportunities to increase the performance of sales support staff and customer experience, resulting in improved results.

  • Ensure that sales support teams meet assigned support and service objectives.

  • Maintain the appropriate use of established resources in line with budget allocations to carryout planned initiatives, which will assure reaching performance goals. Monitor to ensure that sales teams receive mandated trainings and adhere to CMS policies relative to sales support processes and operations.

  • Access and manage the department lead management systems to ensure that sales leads are being properly entered, updated, and to maximize production results of all sales teams.

  • Ensure that sales support representatives development and performance plans are initiated and completed to ensure compliance and assigned sales support goals are met. Ensure that annual performance evaluations are completed prior to due date and merit increases are completed within established budget.

  • Develop recruitment strategies that deliver needed temporary and permanent staffing levels timely to meet service goals in an ever-changing market place.

  • Ensure that all staff are receive ongoing training on sales support processes, customer experience/customer service skills, and Compliance related matters as needed. Ensure that all newly hired staff are onboarded timely and meet all compliance and department standards.

  • Verify necessary information and records in the medical record and computerized scheduling system.

  • Schedule, coordinate, and reschedule patient's appointments. Relay necessary messages to staff and providers.

  • Greet and register patients in a polite, prompt, helpful manner. Provide any necessary instructions/directions. Inform appropriate department/person of person's arrival performing appropriate check-in and check-out functions.

  • Maintain clean, orderly waiting area including beverage area and reading materials.

  • Prepare patient charts for upcoming appointments.

  • Answer telephone, screens calls, takes messages, and provides information.

  • Maintain and update current information on physician's schedules ensuring that patients are scheduled properly and appointments are confirmed.

  • Complete necessary paperwork such as encounter forms and referrals. Use computer system to generate information necessary for billing.

  • Answer questions regarding patient appointments and testing.

  • Complies with all UPMC Health System policies and procedures.Maintain strict confidentiality related to medical records and other data.

  • Utilize appropriate modules of the automated financial management system for scheduling, information verification, entering charges, co-payment collection/ reconciliation and other tasks.

  • High school diploma or GED is required.

  • 1 year work experience, preferably in a medical office setting.

  • Knowledge of medical terminology preferred.

  • Word processing and computer experience preferred.

Licensure, Certifications, and Clearances:

  • Act 34
