Fort Pitt Capital Group, LLC Client Service Associate - Retirement Plan Services in Pittsburgh, Pennsylvania

Ready to invest in yourself?  Great!  We’re always looking for talented professionals to support our growing firm.  Right now, we’re actively looking for a Client Relationship Specialist - Retirement Plan Services who works on Fort Pitt’s Retirement Plan Services team with the advisors supporting plans such as Defined Contribution plans, 401(k)s, Defined Benefit plans, 403(b) / TDA plans, and Non-Qualified Deferred Compensation plans.  This role handles the operational and administrative tasks involved with the onboarding of new clients, scheduling plan review meetings as well as employee education sessions, preparing materials for client and prospective client meetings, updating client accounts in the CRM, and assisting with client requests and questions from both plan administrators and participants.  The Client Relationship Specialist - Retirement Plan Services plays a critical role in ensuring the smooth operation of the Retirement Plan Services department.

What You’ll Do*

  • Respond promptly and professionally to client inquiries and issues related to retirement plan services by providing exceptional client service and ensuring a positive experience for clients and plan participants

  • Process plan participant requests for distributions, hardship withdrawals and loans, and enrollment

  • Assist clients and plan participants with accessing and navigating retirement plan portals, online tools, and mobile applications as well as providing guidance on system usage and features

  • Utilize Fi360 to organize Fort Pitt’s due diligence process, select and monitor investments using our due diligence process, create an Investment Policy Statement that identifies our due diligence process, and monitor client investments according to the IPS

  • Utilize RFP Director to conduct service provider RFPs

  • Coordinate onboarding process of new plans with the plan sponsor and recordkeeper

  • Coordinate plan conversions between recordkeepers by attending weekly calls and/or responding to emails and keeping the conversion on track

  • Collaborate with internal teams, such as Operations, Back Office, and IT, to ensure timely and effective client onboarding and ongoing client account maintenance as well as resolution of client issues

  • Maintain accurate client information in the CRM, including detailed records of client interactions, inquiries, and resolutions

  • Schedule upcoming investment committee meetings and prepare reports for the meetings

  • Maintain physical and digital client files according to standard operating procedures

  • Coordinate 3(38) committee meeting

  • Act as the liaison between TPAs and recordkeepers as needed

  • Remain in compliance with the firm's policies and procedures as required by the Securities and Exchange Commission and other regulatory authorities

    What You’ll Need

  • High School Diploma or equivalent is required

  • Proven experience in a client support role within the financial services industry, with a focus on retirement plan services

  • One (1) year of experience with a recordkeeper, TPA, or investment advisor specializing in defined contribution plans

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook)

  • Microsoft Dynamics 2016 CRM or similar customer relationship management system

  • Proficiency in using retirement plan administration systems

  • Knowledge of retirement plans, including 401(k), 403(b), and pension plans is required

  • Exceptional communication skills, both verbal and written, with the ability to communicate complex concepts in a clear and concise manner

  • Ability to build rapport and establish positive relationships with clients and plan participants

     

    Preferences

  • Associates or bachelor’s degree in finance, economics, accounting, business, or related field

  • Experience in a Financial Services environment

  • Proficiency in providing customer service is strongly preferred

  • Familiarity with retirement plan regulations, such as ERISA, IRS, and Department of Labor guidelines

  • Professional certifications related to retirement plan administration (e.g., CRPS, QKA, QPA) are advantageous

  • Professional Plan Consultant (PPC)

  • Series 65 (or equivalent) is preferred but not required

  • Experience with Fi360 is strongly preferred

  • Experience with RFPD (Request for Proposal Director) is strongly preferred

  • Office 365

  • Laserfiche (enterprise content management software)

  • Reports to the Client Service Manager

  • This position has no supervisory responsibilities

  • Regular Full-Time

  • Work Schedule is Monday – Friday, 8:30 am – 5:00 pm (In Office)

  • Work from home one day per week after six months

  • Little to no travel is expected for this position
