Administrative Assistant

 

Provides administrative assistance for the personnel of Facilities Management Operations and Maintenance. Typing, editing, and proofreading correspondence, memorandums, meeting minutes and reports. Schedules meetings, vehicles reservations, and sets up interviews. Responsible for reimbursing staff. Serves as Facilities Management customer service representative and assists in front desk coverage as well as taking calls through the dispatch line. Receives, acknowledges, reviews and processes emergency, maintenance and departmental requests. Grants access to facilities buildings for facilities staff, vendors and/ or contractors. Oversees the day-to-day operations for 2-way radio system. Updates and creates spreadsheets and other applicable departmental documentation.

Job Summary

Performs administrative and general office support work.

Essential Functions

Must have prior computer data entry experience and proficient in Microsoft Excel and Word. This position requires a high level organization and the ability to coordinate tasks and records. Minimum 3 years customer service experience, knowledge of how to operate a multiline telephone, and operate 2-way radios.

Physical Effort

Lift push or pull ten pounds or more. This is a sedentary position.
