Indian Health Service Support Services Supervisor in Phoenix, Arizona
Summary This position is located in the Support Services department within the Phoenix Indian Medical Center located in Phoenix, AZ. The incumbent serves as the Deputy Support Services Supervisor and provides general and logistical support for activities that support the provision of healthcare services in the areas of communications support, and information receptionist services. Responsibilities Serves as the central point of contact, management control, and coordinated oversite and development of telecommunication services and coordinated information receptionist activities. Conducts meetings and conferences with program staff and others as necessary to explain work requirements, methods, and procedures, establishes regular and special work schedules and determines individual and group work assignments. Responsible for supervising and directing the activities of switchboard operations, the information receptionist and staff to include telephone operators and mail clerk; manages and oversees the hospital switchboard and the information receptionist operations, ensures that staff receive and greets visitors utilizing tact and diplomacy. Ensures a comprehensive internal quality control system that measures the effectiveness of such controls and their impact on the program are implemented. Qualifications To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. You will receive credit for all qualifying experience, including volunteer and part time experience. Individual Occupational Requirements Specialized Experience (for positions above GS-5): One year of specialized experience equivalent to at least the next lower level in the normal line of progression that demonstrated knowledge of the methods and procedures for providing or performing a variety of functions and services applicable to the position to be filled; ability to plan, organize, and control work involving diverse activities; ability to gain cooperation and coordinate the work of others; and skill in oral and written communications. Examples of qualifying specialized experience include: Management analyst or technician or other work that included study, analysis, or evaluation leading to the development or improvement of managerial or administrative policies, practices, and procedures. Administrative officer or assistant, budget administration, program analysis, or other work that demonstrated knowledge of an organization and its functions, and the ways in which support services can facilitate the work of the organization. Office management experience that included responsibility for directing a variety of support services such as typing, mail processing, purchase of supplies and equipment, etc. Secretarial work that required monitoring and coordinating administrative and processing work of subordinate elements through a system of internal procedures, controls, production, progress reporting, etc., to insure the efficient operation of an organization. Military experience that included responsibility for directing a variety of support functions such as communications, property management, mail service, facilities and equipment maintenance, etc. In addition to the Individual Occupation Requirements, you must also meet the Minimum Qualifications stated below: MINIMUM QUALIFICATIONS FOR THE GS-07 GRADE LEVEL: 1 year of specialized experience equivalent to at least the GS-06 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Providing general and logistical support for activities that support the provision of healthcare services in communications support and information receptionist services. Serving as the central point of contact, management control and coordinated oversight of telecommunication services. Knowledge and work involving the planning, scheduling, coordinating and evaluation of the management and operation of all communications support, printing and information receptionist activities; OR 1 full year (18 semester/27 quarter hours) of successfully completed graduate level coursework that is directly related to the work of the position. Major study - public administration, industrial engineering, industrial management, or other administrative or management fields related to the position to be filled; OR Combination of the specialized experience and graduate level education that is directly related to the position. To determine if you qualify under this combination first divide your total months of qualifying experience by 12. Then divide your semester hours of graduate education beyond 2 years by 18. (Note: Only education in excess of the second year is creditable toward meeting the experience requirement when combining experience and education.) Finally, add the two percentages. The total percentage must equal at least 100 percent to qualify. Note: You must provide copies of your graduate transcripts. Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements within 30 days of the closing date of the announcement. Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. IHS may offer newly-appointed Federal employees credit for their directly related previous non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave.
