This is an exciting opportunity to join the Acquirer Platform Transformation team in Global Merchant and Network Services. We are looking for a forward-thinking, high-energy, standout individual to support the Vice President of Acquirer Products and Transformation and the Vice President of Acquirer Platform Transformation. Additionally, this role will lead programs/projects crafted to improve the teams’ culture, teamwork, and employee engagement, e.g., team building, community service, social events, and the like.

We are looking for an individual who has a passion for details and can provide an outstanding standard of support for both VPs. They will work autonomously and efficiently, anticipating the leader’s needs and “connecting the dots” behind the scenes. The ideal candidate should be highly energetic, organized, flexible, credible, and used to working in a fast-paced environment. The Executive Administrative Assistant should be a self-starter, one who interacts regularly with the VP's team and other senior leaders' Assistants, and with senior leadership teams and business leaders.

How will you make an impact in this role?

In this role, you will be responsible for:

  • Organizing and proactively maintaining calendars, including scheduling meetings across multiple time-zones, using a high level of tact and integrity

  • Assisting the VP with appropriate email delegation, booking meetings, and reacting and corresponding on behalf. Prioritizing what is important and urgent. Acknowledging receipt/replies etc.

  • Coordinating conferences and staff meetings, including room booking, catering, security etc.

  • Organizing external business meetings, making all necessary arrangements including sending invites, reserving rooms, Webex setup etc

  • Coordinating travel arrangements and logistics (hotel, visa, rental car, and other travel-related needs)

  • Processing monthly expense reports and reviewing expense reports for approval

  • Assisting with on and off boarding and new employee logistics

  • Tracking timekeeping for team

  • Working closely with other administrative assistants on office operations and providing back-up support when needed

  • Maintaining headcount reporting, organizational charts, and department distribution lists

  • Managing the procurement of office supplies and other departmental needs

  • Supporting ad hoc project work as directed by leadership

Minimum Qualifications

  • Ideal candidate should have previous experience as an Executive Assistant

  • Excellent calendar management skills across time zones

  • Ability to quickly adapt and be flexible in a dynamic workplace

  • High level of integrity required for handling sensitive and confidential information

  • Strong interpersonal, relationship and networking skills to build and maintain effective professional relationships across all areas of the organization

  • Highly organized with an ability to demonstrate keen attention to details, adaptability, flexibility, resourcefulness and efficiency

  • Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through on projects

  • Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively

  • Strong proficiency with MS Office, including Word, Excel, PowerPoint and Outlook required

  • Experience with Ariba, Concur, Dayforce and other AMEX systems preferred

  • Commitment to ongoing learning and development

  • Bachelor degree preferred.

Qualifications

Salary Range: $24.05 to $48.10 hourly bonus benefits

The above represents the expected hourly pay range for this job requisition. Ultimately, in determining your pay, we’ll consider your location, experience, and other job-related factors.
