Summary:

  • The duties of the Senior Housestaff Credentialing Coordinator include an advanced level of accountability to support the daily operations of the Graduate Medical Education Office. Under direction from the Director and the Associate Dean for GME, the Senior Housestaff Credentialing Coordinator is responsible for independently and accurately managing the day-to-day operations of the Graduate Medical Education Office. The individual is responsible for smooth flow of planning, preparation and execution of activities relating to resident and fellow credentialing, licensing and visas. The Senior Housestaff Credentialing Coordinator will serve as a primary resource for all house staff and Program Administrators as it relates to credentialing. This position will require on site presence at both the Hospital of the University of Pennsylvania as well as remote and will require adaptability in work locations and responsibilities as scheduled.

Responsibilities:

  • Collaborates closely with the Director of Graduate Medical Education. Develops and implements new processes and assesses current protocols. Provides reporting related to credentialing of all housestaff including licenses and visa requirements Coordinates, schedules and manages the annual house staff orientation program. This includes developing and distributing invitations, scheduling speakers, reserving and ordering room and food, confirming the participation, arranging audio visual equipment, etc. Manages and coordinates the licensing, and registration process for all incoming and renewing housestaff at HUP and PMC (primarily on an annual basis; however, registration and licensure occurs throughout the year). This includes reviewing house staff record forms and rotation forms submitted to the office, ensuring that appropriate licensure, malpractice and Basic Life Support (BLS) certificate is current, and comply with all external regulatory and internal policies and procedures. Maintains proficiency in the Pennsylvania State Board of Medicine Licensing System (PALS) for registering all of the medical training licenses for 1400 housestaff on an annual basis. Informs all housestaff and programs of expected timelines for processing and outlines steps for the Pennsylvania State Board of Medicine required trainings for initial and renewal process on an annual basis. Maintains proficiency in and manages the financial payment to the Pennsylvania State Board of Medicine Licensing System (PALS) for registering all of the medical training licenses for 1400 housestaff on an annual basis. Works closely with the GME Business Administrator for the payment of the licenses and the program charges for each license. Provides consistent appropriate notification and follow-through is necessary, in a prompt and professional manner. Manages the monthly Program Administrator Meeting duties including meeting agenda, setting up meetings, scheduling conference room if needed, meeting reminders and minutes of the meeting. Maintains proficiency in MedHub trainee management suite, ensures data is complete, accurate and up to date; generates various reports as requested. Independently coordinates activities and duties relating to fellows in Non-Standard Training (NST) Programs on J1 clinical visas. Responsible for being the ECFMG Liaison for housestaff on J1 visas. Maintaining working knowledge of the ECFMG online system for visa documentation required to be submitted for this process. Works closely with the program and the fellow on requirements for the visa. Manages various administrative tasks related to GME programs as may be assigned.

Education or Equivalent Experience:

  • Bachelor of Arts or Science (Required)

  • Education Specialization: Business or Healthcare Administration Equivalent Experience: •And 5+ years Progressively responsible administrative experience

  • Or

  • H.S. Diploma/GED (Required)

  • Education Specialization: Equivalent Experience: •7+ years Progressively responsible administrative experience •2+ years Experience in Graduation Medical Education
