Job Description Summary

The Student Life Program Manager supports the Associate Director of Student Life by managing the day-to-day logistics of key student programs and initiatives. This role focuses on organizing and managing activities within Penn Engineering’s pipeline programs and student leadership opportunities, ensuring smooth operations and effective program delivery. The Program Manager will be responsible for executing the Engineering Summer Academy at Penn (ESAP). The Program Manager will also support the Associate Director in leveraging the PESTLE platform to support and grow student organizations' involvement in community engagement. This position plays a pivotal role in coordinating substantial summer programming and actively engaging with students, staff, and faculty. Success in this role requires exceptional attention to detail, strong organizational skills, and responsiveness to support a dynamic and continually evolving student life portfolio.

Job Description

Job Responsibilities

Program Logistics and Support

  • Manage the execution of the Engineering Summer Academy at Penn (ESAP), ensuring effective use of resources and partnerships with attention to program innovation and growth.

  • Assist with the implementation and evaluation of pipeline programs, ensuring smooth collaboration between the Associate Director, student organizations, and external partners.

  • Manage day-to-day operations and logistics for programs within the Student Life portfolio, including scheduling, communications, and coordination.

  • Facilitate communications and logistics for community engagement events, workshops, and other activities.

Student Organization Support

  • Act as a liaison between student clubs and organizations and the Student Life team, ensuring they have access to resources and opportunities for collaboration.

  • Encourage, support, and track student organizations' use of the PESTLE platform to engage in experiential learning and community service, particularly in collaboration with schoolwide K-12 outreach partners.

  • Assist in identifying and promoting opportunities for leadership development and student involvement within the broader Penn Engineering community.

Pipeline Program Innovation

  • Collaborate with the Associate Director to innovate and improve pipeline programs by incorporating new ideas and best practices.

  • Provide administrative support for new initiatives aimed at expanding student engagement with local schools and community partners through outreach programs.

  • Maintain relationships with K-12 outreach partners, leveraging the efforts of partners like Penn Engineering’s Office of Diversity, Equity, and Inclusion, and support the coordination of activities that bridge Penn Engineering students with these communities.

Program Monitoring and Data Collection

  • Collect, track, and analyze data on program participation, feedback, and outcomes to support continuous improvement.

  • Assist with compiling reports and sharing insights with the Associate Director to inform strategic decision-making.

  • Maintain records of program activities and ensure timely reporting to relevant stakeholders.

    Perform additional duties as assigned

Qualifications

Required:

  • A Bachelor's Degree and 2-3 years of experience in higher education, student affairs, community engagement, or a related field, or an equivalent combination of education and experience.

  • Experience in program management and event planning.

  • Strong organizational and communication skills, with exceptional attention to detail.

  • Ability to work independently and collaboratively in a fast-paced environment with a demonstrated ability to set work priorities under the pressure of deadlines.

  • Demonstrated experience using problem-solving skills to look for collaborative solutions.

  • Proficiency with Google Workspace, MS Office 365, and project management (e.g., Asana) or communications platforms (e.g., Slack, Teams).

  • Ability to occasionally work evenings or weekends as required for major events or deadlines.

  • A cover letter is strongly encouraged.

Preferred:

  • A Master's degree in higher education administration, student affairs, or a related field is strongly preferred.

  • Experience working with K-12 outreach programs.

  • Familiarity with managing or advising student organizations.

  • Understanding of diversity, equity, and inclusion principles in educational settings.

  • Ability to synthesize data for programmatic reporting and evaluation.

  • Previous experience working with CRM systems or student engagement platforms.
