Summary:

  • The Inventory Control Specialist is a Pharmacy Technician III who is responsible for properly maintaining an average monthly Pharmacy inventory on hand of almost $5 million dollars. Assist Purchasing staff in preparing orders, ensure accurate billing and shipment of orders, and receive, unpack and enter products into one of our automated inventory systems. The Inventory Control Specialist will ensure that inventory cycle counts are completely regularly and in a timely manner. Develop and implement procedures for ensuring that adequate inventory levels are present. Proactively alert purchasing staff regarding restock opportunities. Conduct inventory audit on a regular basis and provides reports to management. Audit received drugs for accuracy, quality, and adherence to all special instructions. Report inventory on hand at Drug Shortage Task Force meetings. (Hospital of the University of Pennsylvania - 3400 Spruce Street - Pharmacy Admin)

Responsibilities:

  • Responsible for ensuring our Storeroom operations are successful by performing all inventory functions to ensure accuracy, efficiency, compliance standards, and minimal damage. This person will manage the physical inventory in the Lower and Main Storeroom, resolving and proactively addressing any issues that may occur and answering any questions about inventory that may arise.

  • Works with hospital staff to ensure medications are stored properly and are within expiration date. Completes check for expired meds daily for assigned bin locations. Stores inventory in proper locations to ensure compliance. Maintains inventory in storeroom is adequately controlled and all transactions are properly documented. Maximizes inventory system functionality to ensure the purchasing and inventory control processes are efficient and accurate. Ensure that inventory automation systems are being used properly, to include monthly reconciliations. Review bi-monthly cycle counts performed by Storeroom staff.

  • Maintains inventory records appropriately, including documentation of all receipts, issues and transfers.

  • Assists purchasing staff in handling notification of FDA recalls; retrieval of medication from inventory, patient care areas, Inpatient and Outpatient Pharmacy; returns to vendor.

  • Ensures inventory in storeroom is adequately controlled and all transactions are properly documented.

  • Completes check for expired meds daily for assigned bin locations.

  • Possess and exhibits practical, technical and academic knowledge sufficient to successfully manage all receiving activities. Completes annual safety training.

  • Expands professional and personal growth by adjusting to current trends in his/her field and preparing to meet changes.

Credentials:

  • Certified Pharmacy Technician (CPhT) certification required prior to employment or within six (6) months of hire as a condition of employment.

  • Note: If the employee does not obtain the CPhT within the first six (6) months of employment, the employee will be immediately terminated. It is the responsibility of the employee to maintain this certification throughout their employment with the HUP Pharmacy Department. Failure to recertify before the expiration date of their CPhT Certification will result in immediate termination.

Education or Equivalent Experience:

  • H.S. Diploma/GED with 3+ years pharmacy services experience is required.

  • Experience with Inventory Management and/or Pharmacy Purchasing is preferred.
