Primary Purpose:Assists the Board of Trustees and the Superintendent by planning and performing a variety of highly responsible and confidential administrative andsupport functions.
Minimum Qualifications (Experience/Education/Certification):Two years college; eight years increasingly responsible secretarial and administrative experience. Experience in supervising office personnel. Notarypublic certification will be required if not currently held.
Major Responsibilities: 1. Supervise and participate in the performance of administrative functions for the Superintendent's office and Board of Trustees; serves asconfidential administrative assistant to the Board of Trustees and the District Superintendent of Schools.2. Prepare and/or coordinate the preparation, printing, and distribution of board agendas; gather and compile information from administratorsand prepare background sheets on agenda items for board review.3. Attend and serve as recorder at Board of Trustees meetings; take notes and prepare official minutes for appropriate review, oversee typingand distribution of board minutes.4. Act as information source regarding policies, procedures, and operations of assigned administrative support functions.5. Monitor assigned budgets ensuring purchases are charged to correct accounts and are within budgeted amounts.6. Make travel and conference arrangements for the members of the Board of Trustees.7. Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing. Take dictation when necessary.8. Maintain hard copy and electronic filing systems.9. Support leadership in the maintenance and upkeep of board policies and regulations.10. Prepare venues for public meetings; set up podium and assure recording/PA systems are working properly.11. Perform special projects for the Superintendent and/or Board of Trustees as assigned.12. Follow Educator Code of Conduct and all policies, procedures, laws and State/Federal regulations.13. Perform other duties as assigned.
Special Knowledge/Skills: ? Knowledge of all applicable federal, state, and local laws, guidelines and procedures? Knowledge of administrative support and file maintenance techniques? Knowledge of basic accounting principles and office management? Skill in working in fast paced environments? Skill in communicating effectively and tactfully with others? Skill in analyzing situations and making decisions on procedural matters? Skill in interpreting and applying District and Board policies and procedures, rules and regulations? Skill in business writing and proofreading? Skill in working with various types of equipment including, but not limited to personal computers, fax machines, calculators, printers? Skill in working with word processing and spreadsheet computer applications? Skill in working in collaborative team based environments

Working Conditions (Mental Demands/Physical Demands/Environmental Demands):Maintain emotional control under stress; frequent district and statewide travel; prolonged use of computer; work regularly requires work outside thenormal work week; must be able to push, pull, lift, and/or carry at least 30 lbs. Regularly scheduled evening work (generally two evenings permonth) is required to full responsibilities of position.
