Robert Half Accounts Receivable Clerk in Petaluma, California

Description

Job Summary: We are seeking a diligent and detail-oriented Accounts Receivable Specialist to join our accounting team. The ideal candidate will manage all aspects of accounts receivable, including interfacing with our POS rental software and QuickBooks, preparing and distributing billing statements, and maintaining accurate records. Additionally, this role will provide support for accounts payable tasks and assist with general accounting functions as needed.

Primary Duties and Responsibilities:

Accounts Receivable:

  • Interface daily with the POS rental software program to QuickBooks to record revenue.

  • Prepare daily closing reports using an Excel plugin to match bank deposits.

  • Manage daily billing and distribute bi-monthly statements.

  • Record customer payments via cash, checks, and credit card charges.

  • Handle daily check deposits and weekly cash deposits.

  • Post invoices in the client portal for selected clients.

  • Ensure daily accuracy of AR and Deposit Held account balances.

  • Conduct weekly collection calls and respond to client requests daily.

  • Collaborate closely with Outside Sales on collections.

  • Prepare weekly AR aging and credit check reports.

  • Manage credit applications and set up new AR accounts in Alert.

  • Maintain and update client general liability insurance certificates.

  • Resolve daily closing discrepancies, including merchant credit card POS system issues.

  • Assist store managers and sales with receivable-related questions.

  • Reconcile all balance sheet accounts.

  • Handle census reports promptly.

  • Manage and update Cal-West vehicle lists.

Accounts Payable (Assisting as Backup):

  • Process vendor invoices in QuickBooks and Bill.com.

  • Maintain daily balance of AP aging in Bill.com.

  • Reconcile vendor statements and resolve discrepancies.

  • Ensure the accuracy and current status of the AP aging.

  • Process weekly check runs and credit card payments.

  • Review and process employee expense reimbursements.

  • Monitor credit card balances to ensure they are within the credit limit.

  • Reconcile credit card receipts and download web transactions into QuickBooks monthly.

  • Maintain accounts payable files.

  • Manage vendor 1099s and prepare year-end W-9s.

General:

  • Prepare monthly bank reconciliations.

  • Provide quarterly and yearly census reporting as needed.

  • Assist the Controller with various tasks.

  • Handle copying, scanning, and filing within the accounting department.

    Requirements

Qualifications:

  • Associate's degree in Accounting, Finance, or a related field; Bachelor’s degree preferred.

  • 2+ years of experience in accounts receivable or a similar role.

  • Proficiency in QuickBooks, Excel, and POS systems.

  • Strong attention to detail and accuracy.

  • Excellent organizational and time management skills.

  • Effective communication and interpersonal abilities.

  • Ability to work independently and as part of a team.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.

  • Must be able to lift up to 15 pounds at times.
