Opening in 1997 as a small two doctor practice working normal business hours, Family Veterinary Clinic quickly grew to a five doctor practice, opened 7 days a week, 365 days a year as the only clinic on island with overnight emergency veterinary care. VCA acquired us in 2005, turning Family Veterinary Clinic into VCA Family Animal Hospital. We further raised the bar in 2013 with the addition of specialty services and becoming VCA Family & Oahu Veterinary Specialty Center. Today, we are an AAHA-accredited large hybrid hospital with General Practice, 24/7 Emergency and our specialties include Internal Medicine, Surgery, Ophthalmology, Critical Care, and Oncology!

We are seeking a Client Service Representative Supervisor to join our team.

ESSENTIAL FUNCTIONS:

• Customer service functions, including: greeting visitors, answering telephones, directing clients

• Scheduling and confirming appointments

• Placing outbound calls for follow-ups and reaching out to prospective clients

• Presenting and explaining fees, including processing payments

• Assisting with accounts receivable and outstanding invoices for services rendered

• Responsible for the day-to-day of the front office, including: assisting with interviews, training, coaching, developing, mentoring and disciplinary action as appropriate

• Resolve informal client complaints, maintain and report on these issues to the hospital leadership

• Make decisions on behalf of the department utilizing good judgment, which demonstrates the best interest of the hospital and the clients

• Act as a liaison between front office and other department supervisors

• Recommending, selecting, and obtaining products and services, including prescriptions

• Creating and modifying department schedules

• Answering questions regarding products and services, including educating clients on general animal husbandry and non-medical pet care (i.e., heartworm prevention, housebreaking, and flea & tick control)

• Managing medical records, charts, reports and correspondence

• Hospital maintenance (including removal of animal waste) and ensuring that facility is neat and clean at all times—both inside and outside

QUALIFICATIONS:

• 2 years of supervisory experience required

• 2 years of experience in the veterinary field preferred

• High School Diploma/GED or equivalent

• Excellent listening and communication skills

• Compassion for pets and people—as well as awareness and understanding of others’ reactions

• Proven decision-making skills to choose the most appropriate course of action

• The ability to integrate new information into problem-solving

• Proficiency in Microsoft Office

• Willingness to work non-traditional hours, including nights, weekends and holidays

• The ability to lift up to 40 lbs. and be exposed to hazards associated with pets such as allergies, contagious diseases, noises, odors, bites, scratches, and animal waste

SCHEDULE: This position will be based on the needs of the hospital. Supervisor will have a flexible schedule to ensure coverage which include days, overnights, weekends and holidays.

COMPENSATION:

$22.00 per hour
