Job Title: Sr. Payroll Tax Specialist

Location: Remote (must live locally and in a commutable distance to the office for occasional/quarterly meetings)

Job Type: Full-Time, Hourly (eligible for overtime)

Role Overview:

Robert Half is seeking a detail-oriented and motivated Sr. Payroll Tax Specialist to play a crucial role in ensuring accurate and timely processing of payroll, pension payroll, payroll taxes, and payroll reconciliations for home office and field staff employees.

Key Responsibilities:

  • Execute bi-weekly payroll for home office employees in MD and field employees located across multiple states, ensuring accuracy and compliance.

  • Manage monthly pension payroll for a small group of individuals.

  • Manage multiple payroll cycles ensuring to maintain schedule consistency.

  • Prepare and submit payroll, policyholder tax deposits, and filings on a weekly, monthly, and quarterly basis.

  • Develop and process monthly journal entries and reconciliations.

  • Review current and past pay registers to manually identify any variances or discrepancies and reconcile changes.

  • Maintain internal and external communication with staff, leadership, and payroll vendor.

  • Maintain and update accurate data and records in the system.

  • Provide inquiry support to employees while researching and resolving any payroll related issues in a timely manner.

  • Assist in the preparation of the annual budget for taxes and compensation-related accounts.

  • Assist with preparation of audits from various entities (CPA, IRS, 401k, Worker’s Comp, etc.).

  • Assist with additional tasks or projects as assigned by leadership.

    Requirements

  • 2-4 years of payroll accounting experience (payroll processing and reconciliations) for organizations under 500 employees.

  • Experience with employment withholding tax preparation and general ledger reconciliations.

  • Experience with manual based payroll cycle reconciliations.

  • High School Diploma required; Bachelor’s Degree in Business or Accounting preferred.

  • Familiarity with ADP Workforce Now or similar payroll software.

  • Proficiency in Microsoft Office, especially Excel; experience with Microsoft Access is a plus.

  • Excellent data entry skills, attention to detail, level of accuracy, and organizational skills.

  • Responsive, proactive, and thorough communication skills with the ability to follow through on tasks in a timely manner.

  • Analytical mindset with the ability to analyze data, drive solutions, and effectively problem-solve.

  • Resourceful and self-motivated with a team player mentality and positive attitude.

  • Reliable and high level of confidentiality and integrity.

  • Good time management with the ability to work independently as well as collaboratively.

  • Ability to pass a background and credit check.
