JOB SUMMARY

Responsible as the primary point of contact for the administration of the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), USERRA, and other federal and state specific leave laws (paid and unpaid). This individual will also work as the liaison with internal departments regarding short-term and long-term disability, as well as coordinate with Workers’ Compensation as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Own the leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use. Ensure certifications are processed correctly and in accordance with regulations & policies.

  2. Maintain a comprehensive knowledge of Family Medical Leave Act (FMLA) and other related laws to efficiently administer leaves of absences and leave-related items.

  3. Communicate and educate with employees regarding their needs for all leaves and/or modified work schedules. Ensure employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.

  4. Educate managers and employees on the interaction of leave laws with paid time off, workers’ compensation, and short-term and long-term disability benefits.

  5. Communicate approvals, denials, leave extensions, re-certifications, return to work plans and other important information regarding the leave to the employee. Ensure manager is kept informed with status updates.

  6. Manage leaves that are concurrent with Short Term Disability and Workers' Compensation.

  7. Oversee the return-to-work process for employees returning from extended FMLA, ADA, or other leave(s).

  8. Facilitate other leave-related requests, which may include accommodation requests under the ADA.

  9. Maintain complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.

  10. Establish and maintain strong relationships with Legal, HR staff and client groups within area of responsibility.

  11. Participate in general human resource practices and activities within the HR function.

  12. Collect and analyze basic HR data, and then provide analysis to management.

MINIMUM REQUIREMENTS

  1. Bachelor's degree in Human Resources, Business Administration, or related area or equivalent combination of education and work experience.

  2. Two (2) years of Human Resources experience.

  3. Extensive working knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.

  4. Knowledge of EEO requirements and applicable employment laws.

  5. Preserves confidentiality of employee medical documentation and files.

  6. Effective verbal, written and interpersonal communication skills.

  7. Demonstrated organizational skills including ability to prioritize workload, balance conflicting priorities, and attention to detail.

  8. Demonstrated analytical and problem-solving skills.

  9. Proficiency with Microsoft Office (Outlook, Word and Excel).

PREFERRED QUALIFICATIONS

  1. MBA or Master's degree in a related field.

  2. Experience with Oracle HR Software.

  3. Experience with KRONOS.

WORKING CONDITIONS

This job operates in a professional office environment indoors. Routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

PHYSICAL DEMANDS

The position requires the ability to spend long hours sitting or standing while using office equipment and computers. Ability to perform repetitive tasks such as typing and keying. Occasional lifting, pushing/pulling, carrying 10 lbs of supplies and materials is required.
