University of Maine Administrative Specialist CL2 - Part-Time (id:67711) in Orono, Maine

Statement of the Job: Position is available to employees of the Associated C.O.L.T. Staff of the University of Maine from 03/30/2021 through 04/05/2021 and open to external applicants thereafter. The Children's Center seeks applications for an Administrative Specialist CL2. This is a part time, 20hrs/week position. The hours for this position are M-F 8:30-12:30. This position pays $14.72/hour. * Essential duties and responsibilities include, but are not limited to: * Composes, edits, and reviews a variety of standard and/or specialized correspondence, reports, documents, applications, forms, violations, memos, and/or other applicable materials. * Provides complex administrative support which may include preparing and delivering presentations, maintaining department data, preparing and distributing department documents; performs the duties of assigned staff. * Reviews and corrects a variety of data, confidential records, and information for the department. * Organizes and maintains files, including creating and maintaining confidential department/employee /student files; files documents alphabetically, numerically, or by other prescribed methods. * Tracks a budget, monitors expenditures, and/or performs basic bookkeeping, reporting and/or appropriate payroll tasks. * Prioritizes and assigns work to assigned staff; monitors the performance of assigned staff; trains staff on work methods and procedures. * Performs other duties of a similar nature or level * Applies departmental and organizational policies and procedures to specific situations, and work under general supervision. * May delegate/coordinate work assignments and smaller projects to student workers, temporary employees, and/or regular employees. * May instruct others in work methods and procedures. * May verify the work of others. * May encourage teamwork and group efforts. * May troubleshoot problems and issues of a more complex nature requiring significant knowledge of relevant policies, practices and rules. * Utilizing department's purchasing card (PCard) to purchase items and deliver to programs on a regular basis. * Will work with children as needed *About the University: The University of Maine is a community of more than 11,700 undergraduate and graduate students, and 2,500 employees located on the Orono campus and throughout the state. Qualifications: Required: * High school diploma or equivalent (G.E.D.) and sufficient experience, including two years administrative support experience. * Valid Driver's License with reliable transportation. * CPR certified or willing to get certification. * Experience with modern office procedures and equipment. * Experience with Recordkeeping principles, basic budgeting principles, and mathematical concepts. * Experience maintaining records and filing systems. * General experience with computers and related software applications. * Demonstrated ability to provide exemplary customer service. * Ability to prepare reports, unique and specialized documents, and meeting agendas and minutes. * Using English, grammar, punctuation, and spelling effectively; * Must be able to maintain confidentiality. * Demonstrated experience managing multiple tasks, prioritizing and assigning work; * Strong communication, both written and oral, and interpersonal skills as applied to interaction with parents, coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to give and receive work direction.
