Overview

This position will coordinate administrative functions for a regional office under the supervision of the Senior Administrative Services and Delivery Coordinator. The Regional Office Administrator must be efficient and comfortable being a member of a team. The ability to multi-task while managing complex schedules and maintaining administrative support is essential in this position. The ideal candidate for this job is a proactive communicator, self-starter, resourceful, a good problem solver and highly organized. Assuring a steady completion of workload in a timely manner is key to success in this position.

General Responsibilities

  • Oversee administrative and clerical tasks, ensuring deadlines are met and work is completed correctly.

  • Organize in-person and virtual meetings, including generating agendas and taking minutes.

  • Assist in training staff and new hires. Assist HR with required new hire paperwork and documentation; may work with highly confidential materials.

  • Implement and monitor programs as directed by management and see programs through to completion.

  • Generate memos, emails, reports and other documents when appropriate.

  • Manage and maintain office supplies.

  • Coordinate the maintenance of office equipment, including computers, copy and fax machines.

  • Track local fleet and assist with maintenance, service, and scheduling of vehicles.

  • Coordinate maintenance of local facilities through landlords and/or other vendors as appropriate.

  • Respond to questions and requests for information in a timely and professional manner.

  • Assist with proposal documents and proposal packets.

  • Answer incoming calls for the company and assume other receptionist duties.

  • Capable of planning and recommending operating procedures; may work with highly confidential materials.

  • May direct the work of other administrative staff.

  • Other duties as assigned.

Technical Skills:

  • Demonstrated advanced proficiency in Microsoft Office applications including Word, Excel, and PowerPoint.

  • Experience with SmartSheet, DocuSign, Workday, and AEC360 a plus.

Soft Skills:

  • Must possess excellent verbal and written communication skills and the ability to manage multiple assignments that may be time sensitive.

  • Must have excellent organizational skills and must work independently without supervision.

  • Must present a positive and professional interface with both internal and external clients.

Education/Experience:

  • Must have high school diploma or equivalent and at least 10 years of combined training and experience in work areas related to the particular assignment.

  • A degree in Communications, Paralegal Studies, Library Science, or Business Management is a plus.

Working at Hanson:

  • Must be able to collaborate remotely with colleagues in other offices.

  • Must be willing to accept periodic out-of-town travel assignments.

  • Must be willing and able to work overtime to meet project demands and deadlines.
