Launch That Executive Administrative Assistant in Orlando, Florida

Position Overview:

This is a full-time hybrid role for an Executive Administrative Assistant at Launch That. We are seeking a highly organized and motivated individual to support our President/Chief Operating Officer (COO) and Chief Executive Officer (CEO). 

This position will provide administrative support to the executive team by scheduling appointments, drafting and tracking emails and correspondence, booking travel, managing expense reports, and offering general administrative assistance daily.

Key Responsibilities:

  • Administrative Support:

  • Assist with scheduling meetings, appointments, and travel arrangements for the President/COO and CEO.

  • Prepare and edit correspondence, communications, presentations, and other documents.

  • Assist with personal tasks as needed, including managing personal appointments and errands.

  • Facilitate communication between the President/COO and internal/external stakeholders.

  • Act as a liaison between the President and other executives, clients, and external partners.

  • Draft emails, memos, and other communications as directed.

  • Maintain organized paperless files and records electronically.

  • Project Assistance:

  • Support the President/COO and CEO in managing various projects, ensuring timely completion of tasks.

  • Conduct research and compile data to support strategic initiatives and decision-making.

  • Assist in the preparation of reports, summaries, and presentations.

  • Meeting Coordination:

  • Prepare agendas, take minutes, and follow up on action items from meetings.

  • Prepare meeting materials and take notes throughout the meetings (i.e.StandUp notes, meeting minutes, and Board meeting notes).

  • Coordinate logistics for meetings and technology setup.

  • Special Projects:

  • Participate in special projects and initiatives.

  • Provide support in event planning and execution.

  • Prepare Powerpoints for company-wide Standups.

    Qualifications:

  • 2+ years of experience in an executive assistant role, preferably in a digital marketing or technology company and/or equivalent education (Bachelor’s degree) and experience.

  • Strong organizational and time-management skills with the ability to multitask.

  • Proficiency in Google Suite.

  • High level of discretion and confidentiality.

  • Ability to work independently and as part of a team.

  • Strong analytical and research skills.

  • Agility and adaptability in a fast-paced environment.

  • Positive attitude with excellent verbal and written communications skills.

  • Expertise/skills with both learning and sharing.

  • Professional and adept, with the ability to embrace technology and automation.
