Description of Work

Position will serve as an Administrative Associate II in the Orange County Maintenance Office. This position performs a wide variety of office and clerical duties to accomplish processing of information, documents, and materials. Work includes processing employee payroll, requisitions, orders for supplies and materials, payments to consultants and vendors and damage claims. This position will receive, process, and distribute incoming postal mail, courier box and parcel services. This individual will prepare and distribute a variety of memorandums, letters and emails to contractors, vendors, general public, job applicants and insurance companies. This position will answer incoming calls, determine the nature and urgency of those calls, and provide routine information to callers or direct calls to appropriate staff. This position will operate a personal computer and use a variety of applications including, but not limited to, SAP, Beacon, Ariba, NeoGov, TIMS, Workers Comp Claims, Travelers Online Auto Claims System, Microsoft Word, and Excel. Position utilizes a variety of office machines including, but not limited to, printers, copiers, calculators and shredders. This position is subject to emergency call back and scheduled night work during adverse weather or other extreme

Knowledge, Skills and Abilities / Competencies

• Customer service experience, including resolving customer issues

• Experience with Microsoft Office using programs such as Access, Word, and Excel

• Experience completing and/or maintaining records and reports

• Experience interpreting and/or explaining policies, procedures, and laws

• Experience with letter writing, using correct spelling, punctuation and proofreading

Additional Expectations:

Must be detailed oriented, self-motivated and able to multi-task. Must have experience answering multi-line phone, working independently and maintaining and organizing records. Must have ability to accurately use Microsoft Windows (Word, Excel, etc.). Must have ability to communicate and respond to all inquiries and instructions in a timely manner. Must have ability to use proper grammar, vocabulary, spelling and office terminology to compose and proofread all correspondence. Must be capable of working with minimal supervision. Position requires work during adverse weather such as snow and/or ice, tornadoes, hurricanes, etc. which can lead to working extended daily hours, weekends and holidays. Selected applicant will be expected to legally operate a motor vehicle.

Minimum Education and Experience Requirements

High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience.
