In this role, you will oversee large orders exceeding $50,000 from initiation to completion. You’ll manage key accounts, starting with our most significant global client. You will enter and manage all their orders, create parts quotes, and communicate with all internal departments to ensure the timely and accurate execution of orders. You will solve problems, manage complaints, and document all communication in our CRM system.

Qualified candidates will possess the following:

  • Proficiency in Microsoft Outlook and Teams.

  • SAP experience not required but is a plus

  • Ability to type at least 50 words per minute with high accuracy.

  • Strong organizational skills with attention to detail.

  • Capability to manage multiple projects and work efficiently.

  • The ability to work at a pace exceeding the average is required.

  • Post-high school education and previous customer service experience preferred.

SUMMARY

The Large Orders and Key Accounts Service Representative manages high-value orders and key accounts at our Omaha, NE office. This role involves overseeing projects from initiation to completion, including detailed planning, communication, and documentation using our ERP and CRM systems. The candidate must have excellent communication skills, be highly organized, and be capable of managing multiple projects simultaneously while maintaining attention to detail. Proficiency in Microsoft Outlook and Teams and the ability to work efficiently in a fast-paced environment are essential.

LOCATION

The Large Orders and Key Accounts Service Representative position requires full-time, in-office attendance, five days a week, at our Omaha, NE location.

ESSENTIAL DUTIES and RESPONSIBILITIES include the following (and any other duties that may be assigned):

  • Management of Large Orders (Exceeding $50,000): The candidate will be responsible for the end-to-end management of orders exceeding $50,000. This entails developing and executing detailed project plans, setting deadlines, and monitoring and documenting progress. The candidate will also be responsible for entering all related communications into the CRM system, particularly in the context of order follow-ups. Effective management of project scope, scheduling, and cost variations is essential.

  • Management of Key Accounts: The candidate will progressively assume responsibility for Key Accounts as workload permits, beginning with Conductix’s largest global account. Responsibilities include entering and managing all customer purchase orders, performing quoting activities, and liaising with various departments such as MRP Controllers, the Shipping Department, and Freight Carriers to ensure the timely and accurate execution of orders. The candidate will communicate order status to customers, address and resolve any issues that arise, manage product returns, log customer complaints or concerns in the CRM system, and provide the necessary documentation throughout the order process.

COMMUNICATION SKILLS

The ideal candidate will possess exceptional written and verbal communication skills, which are critical for daily interactions with Inside Sales, Outside Sales, other departments, and customers. The role requires troubleshooting, effectively communicating, and resolving issues in collaboration with other parties.

  • Microsoft Outlook: Proficiency in Microsoft Outlook is essential, as it is the primary communication tool with both internal and external customers. The candidate must be capable of composing emails independently without reliance on pre-written scripts.

  • Microsoft Teams: The candidate should be comfortable using Microsoft Teams for daily communications, including chat functionality, video calls, and screen sharing.

Tools/Software Proficiency:

  • SAP: While prior experience with SAP is not mandatory, it is advantageous. SAP, our Enterprise Resource Planning (ERP) system, is utilized primarily for order modifications and, occasionally, for order entry.

  • CRM: The successful candidate will proficiently navigate and utilize a comprehensive, internally developed Customer Relationship Management (CRM) system. This role demands precision in data entry, utilizing a point-and-click interface to create new prospects, update customer contact information, and perform searches for materials, quotes, and customers. Additionally, responsibilities include documenting communication for order follow-ups, entering orders for Key Accounts, and managing the lifecycle of these orders.

  • This job has no supervisory responsibilities.

QUALIFICATIONS

  • The candidate must demonstrate the ability to type at a minimum speed of 50 words per minute with high accuracy.

  • The ability to work at a pace exceeding the average is required.

  • Attention to detail is critical, as the role involves managing multiple projects concurrently while documenting, communicating, and monitoring various data points.

  • Strong organizational skills are essential due to the volume of projects that the candidate will be required to manage.

EDUCATION and/or EXPERIENCE

  • Post-high school education and previous customer service or similar experience are preferred.

MATHEMATICAL SKILLS

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals, and the ability to compute rate, ratio, and percent.

  • Ability to draw and interpret graphs on Excel and similar software packages.
